We have a statewide AmeriCorps Program – Community Cares - that focuses on building stronger sustainable communities. Our Depot is a retail discount outlet that is an avenue to raise awareness in the community about our mission. The revenue from the Depot is used to support our programs. We work collaboratively with local governments, community organizations, and residents to create opportunities that empower individuals and strengthen neighborhoods.
Position Overview:
We are seeking a highly organized and proactive Administrative Assistant to support our team in achieving our mission. The ideal candidate will have a passion for community development and housing issues, strong administrative skills, and the ability to manage multiple tasks efficiently. This role is critical in ensuring smooth daily operations and providing essential support to our staff, volunteers, and partners.
Key Responsibilities:
- Administrative Support: Assist with day-to-day administrative tasks, including answering phones, managing correspondence, scheduling meetings, and maintaining office supplies.
- Document Management: Organize, file, and maintain accurate records, including contracts, reports, and other important documents related to AmeriCorps, Depot, and housing development projects.
- Data Entry: Input and maintain data in our databases and spreadsheets, ensuring accuracy and up-to-date information.
- Event Coordination: Assist in planning and coordinating events, meetings, and community outreach activities, including preparing materials, arranging logistics, and managing RSVPs.
- Communication: Draft and distribute internal and external communications for all programs, including newsletters, email campaigns, and social media updates.
- Grant Support: Assist with the preparation and submission of grant applications and reports, including gathering necessary documentation and tracking deadlines.
- Volunteer Coordination: Support the recruitment, training, and management of volunteers, including maintaining volunteer schedules and tracking hours.
- Financial Assistance: Provide basic financial administrative support, such as processing invoices, tracking expenses, and assisting where needed.
- Special Projects / Other Responsibilities as assigned: Contribute to special projects and initiatives as needed, supporting the overall goals of the organization. Any additional duties as assigned by the Executive Director.
Qualifications:
- Education: High school diploma or equivalent required; associate’s or bachelor’s degree in a related field preferred.
- Experience: 2 years of experience in an administrative role, preferably within a nonprofit or community-focused organization.
- Skills:
- Strong organizational skills with attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with database management.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities and meet deadlines.
- Positive attitude and ability to work both independently and as part of a team.
- Familiarity with the AmeriCorps Program, housing development, affordable housing, or community development is a plus.
