General Responsibilities
We are seeking a highly organized, proactive, and professional Executive Assistant to provide comprehensive administrative and operational support to the SVP of Marketing. The ideal candidate will act as a trusted partner, ensuring the executive’s time and priorities are managed effectively while maintaining confidentiality and handling a wide range of responsibilities.
- Manage and maintain the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare and organize meeting agendas, presentations, and supporting materials.
- Screen and prioritize emails, calls, and correspondence.
- Assist in the planning and execution of key initiatives and projects.
- Track progress and deadlines, ensuring follow-ups are completed.
- Collaborate with internal and external stakeholders to ensure seamless project delivery.
- Serve as the primary point of contact between the executive and internal/external stakeholders.
- Draft, edit, and proofread communications, reports, and documents.
- Represent the executive in meetings or events when required.
- Maintain an organized filing system for documents and records.
- Anticipate the executive’s needs and provide proactive solutions.
- Maintain a high level of discretion and confidentiality at all times.
Requirements
- Minimum 4 years of experience as an Executive Assistant or in a similar role supporting C-level executives.
- Excellent communication skills, both written and verbal
- Strong organizational and time management abilities
- Proficient in Microsoft Office Suite and calendar applications
- Detail-oriented with high accuracy standards
- Ability to prioritize tasks and manage multiple demands simultaneously
- Discretion and ability to handle confidential information
