About the role:
The Thach Acupuncture and Functional Medicine Center is seeking a responsible and organized individual to perform a variety of administrative and clerical tasks. We are looking for a friendly, goal-driven individual who has a background or experience in medical office work. Duties include providing support to our managers and employees, assisting in daily office needs, and managing our company’s general administrative activities.

Individual MUST:
- Have experience working in a medical office
- Be friendly, pleasant, patient, nonjudgmental, and diplomatic
- Be self-motivated, efficient, reliable and dependable
- Have the skills to effectively market the clinic and bring in clients
- Possess the abilities to multi-task, plan and organize
- Be able to take constructive criticism without taking it personally
- Be willing to teach/train others
- Potential for Growth: To become the office manager

Responsibilities
- Answer and direct phone calls
- Organize and schedule appointments
- Write and distribute email, correspondence memos, letters, faxes and forms
- Assist in the preparation of regularly scheduled reports
- Develop and maintain an online filing system
- Update and maintain office policies and procedures
- Order office supplies and research new deals and suppliers
- Maintain contact lists
- Submit and reconcile expense reports
- Provide general support to visitors
- Act as the point of contact for internal and external client
-Set up rooms and make sure supplies is stocked
-Maintain a clean office environment

Skills

- Proven experience as an administrative assistant or office admin assistant

- Knowledge/experience with social media advertising and email campaigns
- Proficiency in MS Office, Google Suite, and Mac computers
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, like printers and fax machines
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
