What are the responsibilities and job description for the Student Accounts Specialist position at Thaddeus Stevens College of Technology?
This position utilizes a complex automated system to process receipts of both student account and non-student account payments including but not limited for tuition and fees, prepares receipts, maintains records, and prepares bank deposits. In addition, this position generates non-student AR invoices. The successful candidate will demonstrate efficiency, timeliness and accuracy.
Examples of Duties
Essential Duties and Responsibilities:
Student Account Management:
- Oversee student billing processes, including tuition, fees, and other charges, using Ellucian Colleague
- Ensure accurate and timely posting of financial transactions to student accounts
- Monitor payment plans and follow up on outstanding balances to ensure compliance with payment deadlines.
- Process refunds, adjustments, and account reconciliations as required.
Financial Reporting & Compliance:
- Prepare and maintain accurate records for audits, compliance reporting, and financial reviews.
- Reconcile student account balances with the general ledger.
- Assist with federal and state financial aid disbursements and reporting.
Meal plan and housing management:
- Collaborate with housing and campus dining services to assign and manage meal plans and housing charges.
- Ensure proper application of housing and dining fees to student accounts.
- Provide students with guidance on modifying meal plans or addressing housing-related billing issues.
Customer Service:
- Serve as the primary point of contact for student financial inquiries, including payment plans, account balances, and billing concerns.
- Provide guidance to students and families on tuition policies, payment options, and financial deadlines.
- Handle sensitive financial information with discretion and confidentiality.
ID CARD and Access oversight:
- Manage the issuance of student and staff ID cards, ensuring proper setup for meal plans and building access.
- Oversee card access controls for campus buildings, coordinating updates as needed with facilities and IT departments.
- Troubleshoot issues with ID card functionality, including lost or damaged cards.

Education and/or Work Experience Requirements:
- Bachelor degree preferred
- High school diploma or equivalent required
- Three or more years in student accounts or similar role required
