SUMMARY: To answer the telephone, greet the public, assist visitors, and perform secretarial duties for administrative office.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
· Present positive impression to public greet/assist public.
· Answer all incoming phone calls making sure a friendly voice is greeting all incoming calls.
· Become knowledgeable about APD procedures/funding/wait list to direct callers to appropriate department/person.
· Sort and distribute mail.
· Collect fax messages and distribute, prepare and distribute meeting notices/flyers re: events, meetings i.e.; and schedule use of the conference room.
· Assist morning secretary with all mail-outs including membership, newsletter, invitations, etc.
· Document all equipment and donations (non-cash, restricted, etc) and give to Admin. Assistant.
· Assist Administrative Assistant in overall office operation/reports and agency special events.
· Maintain front office area and copy area.
· Perform support for other programs and visitors re: copying, faxing etc.
· Promote good working relationship with other personnel across the agency.
· Perform additional related duties as assigned.

EDUCATION and/or EXPERIENCE High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
LANGUAGE SKILLS Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information one on one and in small group situations such as customers, clients, and other employees of the organization.
MATHEMATICAL SKILLS Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent.
REASONING ABILITY Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situation.
CERTIFICATES, LICENSES, REGISTRATIONS Must be able to pass FDLE background screening, Department of Children and Families Abuse Registry Check, local law enforcement background check, Affidavit of Good Moral Character, and drug screen. Successful completion of Zero Tolerance and HIPAA certifications will be required.
