Position Summary
This position requires a high-level of confidentiality, discretion, and professionalism in interactions across all organizational levels and with customers on a daily basis. This position will provide support with A/R administrative tasks, including but not limited to, billing, payments, purchase orders, and general office operations, ensuring smooth and efficient day-to-day functions.
Position Duties & Responsibilities
- Accounts Receivable: Process accounts receivable transactions, including invoicing, posting payments, and following up on outstanding balances.
- Report Compilation: Compile and manage reports, spreadsheets, and data as needed.
- Customer Service: Answer phones and emails from customers, assist with coordinating and scheduling jobs.
- Purchasing: Purchase necessary materials from supply house.
Position Requirements
- Excellent organizational and record-keeping skills.
- Clear, effective written and verbal communication skills, with the ability to engage with customers, employees and leadership.
- Ability to effectively interpret information, present numerical data clearly, and gather and analyze relevant information.
- Strong time management skills, with the ability to prioritize tasks and use time efficiently.
- High attention to detail, with the ability to monitor work quality and maintain accuracy.
- Proficiency in Microsoft Office, QuickBooks and general computer skills.
- Ability to work well with others, maintain confidentiality, and handle sensitive information with discretion.
- Professional demeanor in both presentation and communication.
- Ability to shift between tasks smoothly and manage competing priorities effectively.
Position Preferences
- Prior office/booking experience.
- Prior experience with Microsoft Office/Excel/Scheduling platforms.
- Familiarity with QuickBooks software.
Job Type: Full-time
Pay: $16.00 - $18.00 per hour
Expected hours: 35 – 40 per week
