Position Summary

This position requires a high-level of confidentiality, discretion, and professionalism in interactions across all organizational levels and with customers on a daily basis. This position will provide support with A/R administrative tasks, including but not limited to, billing, payments, purchase orders, and general office operations, ensuring smooth and efficient day-to-day functions.

Position Duties & Responsibilities

  • Accounts Receivable: Process accounts receivable transactions, including invoicing, posting payments, and following up on outstanding balances.
  • Report Compilation: Compile and manage reports, spreadsheets, and data as needed.
  • Customer Service: Answer phones and emails from customers, assist with coordinating and scheduling jobs.
  • Purchasing: Purchase necessary materials from supply house.

Position Requirements

  • Excellent organizational and record-keeping skills.
  • Clear, effective written and verbal communication skills, with the ability to engage with customers, employees and leadership.
  • Ability to effectively interpret information, present numerical data clearly, and gather and analyze relevant information.
  • Strong time management skills, with the ability to prioritize tasks and use time efficiently.
  • High attention to detail, with the ability to monitor work quality and maintain accuracy.
  • Proficiency in Microsoft Office, QuickBooks and general computer skills.
  • Ability to work well with others, maintain confidentiality, and handle sensitive information with discretion.
  • Professional demeanor in both presentation and communication.
  • Ability to shift between tasks smoothly and manage competing priorities effectively.

Position Preferences

  • Prior office/booking experience.
  • Prior experience with Microsoft Office/Excel/Scheduling platforms.
  • Familiarity with QuickBooks software.

Job Type: Full-time

Pay: $16.00 - $18.00 per hour

Expected hours: 35 – 40 per week

Benefits:

  • Paid time off

  • 10 hour shift
  • 8 hour shift
