As an Office Administrator, you'll be the hub of our daily operations, managing schedules, supporting the team, and ensuring our customers have the exceptional experience they expect. If you're an organized problem-solver who thrives in a fast-paced environment, this is your chance to shine!
Key Responsibilities
- Customer Service: Answer inbound calls with professionalism, booking service appointments and providing accurate information to customers.
- Scheduling & Dispatching: Coordinate and manage technician schedules, ensuring efficient routing and light dispatching.
- Accounts Receivable & Payable: Process customer payments, issue invoices, follow up on balances, and handle vendor payments promptly.
- Bookkeeping: Reconcile accounts, manage expenses, and assist with basic financial reporting using QuickBooks Online.
- Administrative Support: Maintain accurate records, order supplies, and support general office operations to help the team stay productive.
Qualifications
- Proven experience in office administration, scheduling, or customer service (HVAC or related industry experience is a plus).
- Bookkeeping experience with QuickBooks Online or similar software preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook); familiarity with ServiceTitan is a big plus.
- Exceptional attention to detail with strong organizational skills.
- Ability to multitask and thrive in a fast-paced, team-oriented environment.
- Excellent communication and interpersonal abilities for both customer and team interactions.
