Position Overview:
- The person in this position will successfully create relationships with new clients and strengthen relationships with existing clients and business partners based on the strategy of the department. They will be the point person for booking events at various Briar Group locations as well as responsible for assisting with developing any in house programs or marketing events, managing all aspects up to and including billing and client communication.
- Administrative duties include sending contracts, preparing proposals for clients, creating and getting signature for banquet event orders (BEOs) and banquet checks, invoicing and follow up for any payments due to venue for billing
- Works closely with Venue Management Team to develop a quarterly action plan that targets key markets for all corporate and social event business
- Send out inquiry letters, thank you letters, client questionnaires, menu packages and trace inquiries
- Answer informational calls, check space for social and corporate market, make space requests, send confirmation letters and proposals to prospective clients
- Direct contact to clients in order to collect information in regards to space needs, guarantee number of attendees, etc.
- Give tours of the space to prospective clients
- Maintain event information and menus in Tripleseat (event tracking system)
- Reconciliation of all banquet charges
- Prepare and distribute BEO packets to each venue (weekly) and discussion while leading BEO meeting (weekly)
- Work with Tripleseat to ensure proper and timely follow up on all sales leads
- Greet and assist with operations of private events and functions at venue when needed
- Maintain accurate information regarding guarantees for food functions, room set-ups, AV requirements along with other client needs and communicate them to the appropriate departments
- Set-up functions as necessary i.e.: assist in coordinating deliveries and pick-ups with vendors, rental equipment and room set up when necessary
- Manage staff in conjunction with venue management to direct staff in regards to set up and operation of event
- Attends association and industry events and meetings
- Bachelor’s degree, preferably in event management, hospitality or a related field
- Three years (minimum) related experience
- Previous experience with Tripleseat (or another event tracking system)
- Great customer service skills
- Sense of Urgency
- Extremely organized; self-starter
- Strong desire and willingness to learn
- High integrity and ethics
- Ability to work collaboratively with teams as well as individually
- Previous hospitality experience
