We are seeking a diligent and professional Legal Receptionist/Administrative Assistant to join our personal injury law firm. As the first point of contact for clients and visitors, you will play a crucial role in providing exceptional customer service and ensuring the smooth operation of our office. In addition to handling incoming calls, you will be responsible for contacting clients to check treatment status, confirming contact information, and assisting with various administrative tasks to support our legal team.
Responsibilities:
Front Desk Operations:
- Greet clients and visitors in a courteous and professional manner.
- Answer and direct incoming calls promptly and efficiently.
- Manage inquiries and provide basic information about our services.
- Maintain a tidy and welcoming reception area.
Client Communication:
- Contact clients to check the status of their treatment and recovery.
- Confirm client contact information and update records as necessary.
- Assist with scheduling appointments and consultations for clients.
Administrative Support:
- Receive, sort, and distribute incoming mail and packages.
- Scan and file documents electronically for easy retrieval.
- Assist with the preparation and printing of legal documents and correspondence.
- Maintain office supplies inventory and place orders as needed.
- Coordinate with vendors and service providers for office maintenance and repairs.
Legal Assistance:
- Provide general administrative support to attorneys and legal staff.
- Assist with data entry, document organization, and file management.
- Conduct basic legal research and gather information as directed.
- Prepare correspondence and draft routine legal documents under supervision.
Requirements:
- Previous experience as a receptionist or administrative assistant, preferably in a legal office setting.
- Familiarity with legal terminology and procedures is preferred.
- Excellent communication and interpersonal skills.
- Strong organizational abilities and attention to detail.
- Proficiency in Microsoft Office Suite and office equipment (e.g., printers, scanners).
- Ability to prioritize tasks and manage time effectively in a fast-paced environment.
- Discretion and professionalism when handling sensitive information.
- High school diploma or equivalent; additional certification in office administration or related field is a plus.
