Job Description

Position Summary :

This position provides primary administrative support to the Vice President, Philanthropic Services (Chief Philanthropy Officer) and the Philanthropic Services team by supporting the cultivating, solicitation and stewardship of donors and professional advisors to make the Trust Chicago's premier center for philanthropy.

Principal Responsibilities :

For the VP, Philanthropic Services

  • Manage all aspects of scheduling meetings, both internal and external, and serve as the proactive owner of the calendar, manage all catering needs.
  • Arrange for all business travel.
  • Track and reconcile monthly credit card statements and complete and submit expense reports in a timely manner
  • Support all aspects of VP portfolio management including Salesforce entries, staffing VP on donor stewardship needs.
  • Organize all team meetings and outings, including agenda development with VP.
  • Prepare Powerpoint presentations as requested
  • Support the quarterly Philanthropic Services Committee.
  • Invite internal and external guests 6 months ahead, arrange for all meeting logistics, use Trust governance software for agenda creation, communicate with Executive committee members and their offices, take minutes, manage meeting AV, and other tasks as needed.
  • Organize internal and external meetings for the Philanthropic Services Team, including agenda preparation, logistics planning, note taking, and follow up activities, as appropriate; additional administrative tasks as needed
  • Miscellaneous tasks related to the VP's management of the PS Team

For Philanthropic Services Team

  • Support and lead internal and external events management as assigned. Includes guest list development in database, tracking RSVPs, catering, nametags, room set up and all other logistics associated with event preparation, execution and follow up.
  • Assist with internal and external meetings for the Philanthropic Services Team, including logistics planning, name tag generation, note taking, and follow up activities, as appropriate; additional administrative tasks as needed
  • Coordinate contract approval process for contracts generated by Philanthropic Services Team
  • Complete and confirm transaction requests for the Philanthropic Services Team, including donor contributions, grant recommendations, password resets / support, and statement management
  • As needed, serve as additional support to administer the fund opening process for up to 200 funds annually, including Salesforce updates, fund agreement execution, fund record population, donor profile creation, and sending of welcome packet.
  • Ensure consistent and efficient interaction with administrative peers across the organization; demonstrate poise and tact under pressure and handle matters with sound judgement and confidentiality
  • Participate in other meetings and working groups as assigned
  • Other duties as assigned.
  • Experience and Skills

  • College degree or equivalent experience
  • Five to eight years of experience, preferably in a senior level administrative position
  • Two- four years of experience in supporting or managing events
  • Outstanding written and verbal communication skills
  • A self-starter who thrives in an environment of light managerial oversight
  • Proficiency with the Microsoft Office suite (Word, Excel, Outlook, and PowerPoint), Salesforce and basic project tracking tools
  • Ability to work in a fast-paced and sometimes unpredictable environment; works well under pressure and tight deadlines
  • Ability to consistently apply good judgment and make good decisions.
  • Ability to always maintain confidentiality and discretion
  • Organized with a proven ability to juggle multiple projects at once
  • Experience managing complex event logistics
  • Experience with business travel arrangements, coordinating meetings and tracking credit card and other expenses

    The Chicago Community Trust was founded in 1915 by Norman and Albert Harris, father and son duo of the Harris Trust and Savings Bank (now BMO Harris Bank). The Trust was the fourth community foundation ever created. There are now 750 community foundations in Canada and the U.S.
