Position Summary :
This position provides primary administrative support to the Vice President, Philanthropic Services (Chief Philanthropy Officer) and the Philanthropic Services team by supporting the cultivating, solicitation and stewardship of donors and professional advisors to make the Trust Chicago's premier center for philanthropy.
Principal Responsibilities :
For the VP, Philanthropic Services
- Manage all aspects of scheduling meetings, both internal and external, and serve as the proactive owner of the calendar, manage all catering needs.
- Arrange for all business travel.
- Track and reconcile monthly credit card statements and complete and submit expense reports in a timely manner
- Support all aspects of VP portfolio management including Salesforce entries, staffing VP on donor stewardship needs.
- Organize all team meetings and outings, including agenda development with VP.
- Prepare Powerpoint presentations as requested
- Support the quarterly Philanthropic Services Committee.
- Invite internal and external guests 6 months ahead, arrange for all meeting logistics, use Trust governance software for agenda creation, communicate with Executive committee members and their offices, take minutes, manage meeting AV, and other tasks as needed.
- Organize internal and external meetings for the Philanthropic Services Team, including agenda preparation, logistics planning, note taking, and follow up activities, as appropriate; additional administrative tasks as needed
- Miscellaneous tasks related to the VP's management of the PS Team

The History of The Chicago Community Trust
The Chicago Community Trust was founded in 1915 by Norman and Albert Harris, father and son duo of the Harris Trust and Savings Bank (now BMO Harris Bank). The Trust was the fourth community foundation ever created. There are now 750 community foundations in Canada and the U.S.
