The City of Monroe is seeking a highly organized and professional Executive Assistant to provide high-level administrative support to the Mayor and City Manager.
This role requires a motivated individual with exceptional communication skills, discretion, and the ability to manage multiple priorities in a fast-paced government environment. The person in this role will have key responsibilities, including providing confidential executive support to the Mayor, City Manager, and City Council, acting as a liaison between city leadership, departments, and the public, addressing inquiries, and ensuring effective communication.
The Executive Assistant will also have tasks such as scheduling appointments, coordinating meetings, managing complex calendars, drafting and reviewing correspondence, reports, and official documents. Organizing and maintaining records, databases, and filing systems, including confidential information, monitoring budgets, tracking expenses, and preparing financial reports. Assist in planning and executing special projects, events, and community initiatives. Supervise clerical staff as assigned and ensure the efficiency of office operations. Assists the Mayor and City Manager in planning meetings, compiling and assembling related agendas, documents, information, and data. Record minutes and complete follow-up on action items. May be required to represent the Mayor and City Manager (depending on the complexity of the matter).
- Associate’s Degree with a focus in office management or a related field and four years of senior executive administrative assistant experience or an equivalent combination of education and experience.
- Aptitude to exercise sound judgment and demonstrate thoroughness and dependability.
- Ability to function with a high degree of confidentiality and respond with discretion.
- Knowledge of municipal government structure, policies, procedures, and regulations.
- Mastery of executive office operations and clerical procedures/practices.
- Proficiency in executive-level administrative procedures, communication strategies, and office technologies.
- Expertise in typing with speed and accuracy while maintaining complete confidentiality.
- Ability to gather data and prepare accurate and timely records, reports, notices, memos, and letters.
- Aptitude to effectively convey and comprehend information through speaking, hearing, reading, and writing.
- Competence in interacting professionally, constructively, and diplomatically with top-level administrators, employees, business representatives, governmental officials, and the general public.
- Proficiency in office equipment and technology, including Microsoft Office Suite applications and department-specific software, with the ability to learn new technologies as needed.
Residency Requirement: Must live within a 20 mile radius of the City of Monroe boundaries within the first year of employment.
