We are looking for an Operations and Admin Assistant to provide crucial support to our CEO and Operations Director. You will be responsible for a variety of tasks to ensure our operations run smoothly and efficiently. Your responsibilities will include:
- Client Onboarding: Assisting with the onboarding process for new clients, including preparing and managing invoices.
- Administrative Support: Providing general administrative support to the CEO and Operations Director, ensuring smooth day-to-day operations.
- HR Support: Assisting with HR functions, including maintaining company policies and supporting recruitment and onboarding processes.
- Project Coordination: Helping coordinate client projects, ensuring timelines are met and communication flows smoothly.
- Project Management Software: Entering and managing key information in our project management tool, Monday.com.
- Reporting and Presentations: Preparing comprehensive reports and presentations for internal and client meetings.
- Scheduling: Coordinating and scheduling meetings, calls, and other engagements for senior leadership and the team.
- Quality Assurance: Reviewing documents and project deliverables to ensure they meet the agency’s standards.
- Issue Resolution: Identifying potential administrative or operational issues and working proactively to resolve them.
- Continuous Improvement: Contributing to the development of internal processes to improve efficiency and productivity.
- At least 1 year of experience in an administrative or operations support role.
- Proficiency with project management software, preferably Monday.com.
- Agency experience is a plus, including internships.
- Marketing experience or education is beneficial but not required.
- Excellent organizational and multitasking skills.
- Strong communication and interpersonal abilities.
- Detail-oriented with the ability to manage multiple tasks simultaneously.
- Comfortable working in a hybrid environment, with 2-3 days per week in our Boca Raton office.
