Part-Time Emergency Preparedness Exercise Administrative Coordinator
SUMMARY:
Our FEMA Radiological Emergency Preparedness Program (REPP) Administrative Support team seeks candidates for a Part-Time Emergency Preparedness Exercise Administrative Coordinator.
There are many nuclear power plants in the United States and while the Nuclear Radiological Commission monitors safety within the power plants, FEMA helps to support preparedness of the state and local communities that would be within the effected zone if a nuclear accident occurred. This involves conducting simulation exercises in conjunction with state and local agencies, scenarios test and measure different capability types involving communication, coordination, and general emergency response.
Concourse provides the exercise teams with administrative coordination. Our ideal candidate will be someone with a background in Emergency Preparedness, preferably having been with FEMA, looking to continue to support FEMA preparedness exercise drills on an intermittent basis. Our ideal candidate will also have a strong administrative background, be able to multi-task and organize the receipt of deliverables from teams of 25-60 people. March through November is the busy season with an average of 1-2 exercises a month. This position will require travel to the exercise sites. Each exercise is approximately 4-5 days.
Potential Tasks:1. Scheduling and moderating virtual and in-person meetings for the FEMA exercise evaluation team.
2. Collecting multiple documents in multiple formats and aggregating them into a single document with a FEMA approved format: Word, Excel and PowerPoint.
3. Updating information on public and community outreach materials utilizing MS Excel, Word and PowerPoint.
4. Action tracking and monitoring deliverables received from teams of up to fifty people.
5. Supporting communications between the FEMA team and contractors.
6. Utilizing an organized approach to make sure that all administrative support equipment and materials are properly set-up including setting up and testing a printer, making sure administrative supplies are available, printing out templates and forms for evaluators and setting up presentation equipment and materials.
7. Reviewing evaluation summaries and documents for spelling, grammar and formatting errors.
8. Conduct research on travel cost, complete travel expense estimation paperwork and book travel arrangements.
9. Completing expense reports in Excel.
SKILLS AND ABILITIES:
- Strong skills in MS Word and Outlook. Intermediate skill level in Excel and PowerPoint.
- Some comfortability with MS Teams and SharePoint.
- Exemplary communication skills and ability to tailor approach to different team dynamics.
- High level of organizational skills utilizing structured approaches to ensure efficiency of deliverable completion.
- Ability to multi-task in situations where there may be competing priorities.
- Must be comfortable with a high level of social interaction with people from multiple agencies.
- Ability to manage aggressive deadlines.
- Bachelor’s Degree in any field; Emergency Preparedness preferred
- Demonstration of skills in MS Word, PowerPoint and Excel
- FEMA REPP experience given priority. Any FEMA preparedness experience will be preferred.
- Familiarity with PrepToolKit is preferred.
- Must be organized, positive, proactive, and results-oriented
- Must hold a U.S. Citizenship
- Must live locally to the Annapolis/ Baltimore and/or National Capital regions
- Must be able to rent a car
