We have an opening for an Administrative Specialist in Freeport, TX. About You and This Role: You will provide specialized administrative support and coordinate general office activities for leadership and teams within the PE Product R&D group. You will maintain a thorough understanding of duties, work teams, and computer programs to function independently, prioritize tasks and provide administrative assistance to leaders, coworkers, or other groups in the organization. In addition, you will be able to meet tight deadlines in a fast-paced and quickly changing environment and will have a track record of strong organizational skills. The role requires a proactive, resourceful, and self-motivated mindset. Finally, it requires full proficiency gained through job-related training and considerable on-the-job experience to perform a range of tasks under limited supervision. Responsibilities Maintains an understanding of role, work group, and applications to appropriately prioritize work and provide professional administrative support to leaders, colleagues, or groups in the organization. Able to meet deadlines in a fast-paced and quickly changing environment. Independently schedules meetings, books conference rooms, orders food/drink, escorts and manages visitor guest processes and agendas. Coordinates the end-to-end delivery of departmental or group events or special projects. Excellent organizational skills and results-oriented. Strong attention to detail and the ability to keep work flowing without distractions or interruptions. Ability to arrange complex domestic and international travel and prepare an itinerary. Manages complex calendars and time management to support the leader and business objectives. Independently works to manage changing priorities and circumstances. Uses business software applications (e.g., word processing, presentation, and spreadsheet) to prepare reports, presentations, agendas, minutes, etc. Maintains files, records, calendars, and shared drivers updated and organized. Clear and concise verbal and written communication skills. Creates open channels of communication to help the department understand and utilize information more effectively. Displays approachable demeanor for a positive coaching and mentoring environment by supporting an inclusive culture. Ability to work in a team and prioritize requests from multiple managers Works effectively with others to meet or exceed organizational goals. Strong attention to detail. Stays up to date on changing technology (e.g., Microsoft Office). Ability to quickly learn new internal electronic systems, and to share knowledge with others. Understands time zone and cultural differences. Manages TER reporting, review and approve TERs on behalf of leader. Informs individuals of discrepancies. Ensure employees adhere to company policy requirements including Dow's Code of Business Conduct. Advocates for Dow's safety behaviors; often may be safety warden or contact for team, floor, etc. Promotes partnerships within and between teams. Works towards win-win outcomes in relationships with others in the Dow organization. Demonstrates SME traits with MS Office platform, Dow Systems software and collaborations tools. Able to assist managers and team members with everyday IT issues. Creates open channels of communication to help the organization understand and utilize info more effectively and follows up to ensure that others understand the messaging. Must embrace change. Exceptional work ethic. Motivates and encourages others. Ability to create an organized data management system. Assists in organizing visitor agendas, events, and lab tours. Provides support in proof-reading announcements and other communications. Supports external presentations, including booth preparation and presentation content. Required Qualifications: A minimum of High School Diploma or GED Equivalent. Must be proficient with Microsoft Office Applications. A minimum of seven years of relevant experience. A minimum requirement for this U.S. based position is the ability to work legally in the United States. No visa sponsorship/support is available for this position, including for any type of U.S. permanent residency (green card) process. Prefer Skills: Prior Exposure to SAP and Purchase Orders is preferred. Prefer Very strong written and verbal communication skills. Prefer ten years of relevant experience. Prefer manages customer expectations effectively. Prefer strong interpersonal skills and abilities to quickly build relationships. Prefer strong time management skills.
