Key Responsibilities:
- Provide administrative assistance to the CEO and other executives, including calendar management, scheduling meetings, and preparing materials for presentations and reports.
- Act as the primary point of contact between senior executives and internal/external stakeholders. Manage phone calls, emails, and correspondence, ensuring timely responses.
- Organize meetings, including logistics, agendas, and follow-up actions. Arrange domestic and international travel itineraries, ensuring smooth and efficient travel schedules.
- Prepare, proofread, and edit various financial reports, presentations, contracts, and other business documents. Maintain confidential information in accordance with company policies.
- Assist with special projects, research, and data analysis as needed, ensuring timely and accurate completion.
- Coordinate day-to-day office operations, including managing supplies, liaising with vendors, and maintaining office spaces.
- Process and track expenses, ensuring adherence to company budgets and policies. Assist in financial reporting and invoice management.
- Build and maintain positive relationships with clients, stakeholders, and business partners.
Qualifications:
- Bachelor’s degree
- Minimum of 3 years of experience in an executive assistant role, preferably within the finance or corporate sector.
- Strong proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and familiarity with financial software/systems.
- Excellent verbal and written communication skills.
- Exceptional organizational skills with the ability to multitask and prioritize effectively.
- High attention to detail and accuracy.
- Ability to maintain confidentiality and handle sensitive information.
- Strong problem-solving and analytical skills.
- Ability to work under pressure and meet deadlines.
