Position Overview:
The Member Accounts Manager/Bookkeeper is responsible for overseeing all aspects of membership billing, accounts receivable, and member retention. This role also plays a key part in managing the front desk, ensuring efficient communication and service to members. The position requires strong attention to detail, excellent customer service skills, and the ability to manage financial transactions accurately.
Membership Billing & Accounts Management Key Responsibilities:
- Manage and process all accounts receivable related to membership dues.
- Ensure accurate and timely billing and invoicing for all member accounts.
- Regularly audit member billing records, resolving discrepancies and ensuring compliance with club policies.
- Generate billing reports and provide financial updates to the General Manager bi-weekly.
- Maintain an updated membership roster and communicate changes to relevant club leadership.
Member Retention & Account Changes:
- Serve as the primary point of contact for members regarding billing inquiries, account adjustments, and category changes.
- Handle all membership category changes, resignations, leaves of absence, and upgrades, ensuring seamless processing in club management software.
- Proactively manage member retention efforts, assisting with renewals and addressing concerns in a timely manner.
- Ensure proper documentation and execution of all membership agreements and modifications.
Front Desk Operations & Communication:
- Work scheduled hours at the front desk, supporting member inquiries, guest check-ins, and general administrative duties.
- Oversee front desk operations to maintain professional service and efficient workflows.
- Respond promptly to member inquiries via front desk interactions, club phone line, and general club email.
- Work collaboratively with the Member Services Lead to ensure consistent member engagement.
Qualifications & Skills:
- Previous experience in accounts receivable, bookkeeping, or financial administration required.
- Strong customer service skills and ability to engage professionally with club members.
- Proficiency in membership management software, accounting systems, and Google Drive Suite.
- Excellent organizational skills with high attention to detail and accuracy.
- Ability to multi-task and manage priorities in a fast-paced environment.
- Strong written and verbal communication skills.
- Experience in a private club, hospitality, or service-based industry is preferred.
