Position Overview:
The Purchasing Manager will support the Finance team in ensuring the accuracy and timely payment of vendor invoices and reimbursements. This role involves managing purchased orders, maintaining vendor relationships, and ensuring accuracy in procurement-related documentation. Reporting directly to the CFO, the ideal candidate is organized, detail-oriented, and able to work in a fast-paced environment.
Duties & Responsibilities
- Prepare and process purchase orders (POs) and requisitions
- Manage accounts payable by processing invoices, verifying expenses, ensuring appropriate documentation for each invoice, and ensuring timely video payments
- Communicate with vendors when needs arise for additional documentation for invoice and reimbursement support
- Manage supplies’ inventory levels by monitoring stock availability and alerting the team of potential shortages
- Perform general administrative duties, including filing, data entry, and correspondence related to procurement
Education and Experience
- Bachelors degree in Accounting, Finance or a related field
- Minimum of 2-3 years of accounting experience, preferably within the travel, tourism, or hospitality industries
Technical Skills
- Proficiency in accounting software (e.g., QuickBooks, NetSuite, or similar platforms)
- Advanced knowledge of Microsoft Excel (e.g., pivot tables, VLOOKUP, and data analysis)
- Familiarity with industry-specific financial systems or booking platforms is a plus

Working Conditions
- Prolonged periods of sitting and viewing a computer monitor and keyboarding

- Open office layout, includes background noise and flow of people around the office
- Employee may be required to travel (overnight) as required
Hours of Work
Hybrid Schedule. Workweeks are five days, Monday and Friday, 8 hours per day, starting at 8:30am or 9:00am, as agreed upon between the employee and their manager
