An exceptionally busy and dynamic CEO/Founder of a fast growing jewelry company beloved by celebrities, influencer and the fashion crowd seeks a smart assistant to help keep her daily needs managed.
The Admin/Personal Assistant will deliver comprehensive administrative support to the CEO, driving efficient operations and organization across her personal and professional life, including office and home management. This role requires discretion, exceptional organizational skills, and a proactive mindset, with a proven ability to anticipate the CEO's needs and stay multiple steps ahead. As a key strategic partner to the CEO, you will drive the seamless execution of both professional and personal agendas, directly impacting the success of the growing company.
Key Responsibilities:
● Manage the CEO's calendar, schedule appointments, and coordinate meetings.
● Take detailed meeting notes and distribute them as needed.
● Prepare and organize materials for meetings, including presentations and reports.
● Act as a liaison between the CEO and internal/external stakeholders.
● Handle confidential information with professionalism and integrity.
● Assist with travel arrangements, including itineraries and accommodations.
● Draft correspondence, emails, and other communications on behalf of the CEO.
● Maintain filing systems and organize documents for easy access.
● Conduct research and compile information as needed for projects and strategic initiatives.
● Run errands as required, including shopping, picking up materials, and managing returns.
● Assist with office management, including maintaining supplies and managing inventory.
● Manage household matters, including coordinating with vendors, contractors, and overseeing construction as needed.
● Support the CEO with special projects and tasks as assigned.
What experiences you should have
Qualifications:
● Bachelor’s degree in Business Administration, Communications, or a related field.
● 3 years of experience in an administrative or personal assistant role, preferably in a luxury or corporate setting.
● Must have a valid driver's license and reliable transportation.
● Exceptional organizational and multitasking skills.
● Strong written and verbal communication abilities.
● Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and calendar management software.
● Ability to work independently, prioritize tasks effectively, and demonstrate a "doer" mentality.
● Discretion and confidentiality in handling sensitive information.
● Positive attitude and flexibility to adapt to changing needs.
● Passion for fine jewelry and a strong understanding of the luxury market is a plus.
