Job Scope:
The Administrative Assistant will provide effective and innovative administrative support. Improve the productivity through efficient planning, disciplined time management and effective information management. Apply sound business judgment to make timely decisions, prioritize workloads, and operate independently in a fast-paced work environment. Utilize strong written and verbal communication skills to assist the Community Manager in their interactions with internal and external clients. Demonstrate a spirit of teamwork and collaboration across the company.
Duties and Responsibilities:
- Assists in the development, implementation and prioritization of goals, objectives and policies
- Performs varied, complex and confidential administrative duties under limited supervision, requiring a thorough knowledge of policies, procedures and precedents
- Determines the priority of and routes correspondence
- Composes routine correspondence and independently prepares correspondence not requiring supervisor's personal attention
- Screens calls, inquiries, and refers visitors to supervisor, when necessary
- Responds to complaints and requests from residents
- Supervises, initiates and maintains a variety of files and records of information
- Performs special projects as directed by the supervisor, including ordering supplies, updating insurance policy, supervising building activity and coordinating work orders and requests
- Provides minimal supervision of the maintenance staff when the supervisor is off site
- Prepares monthly financial packages for distribution to owners
- Manages calendars and schedules appointments for supervisors including travel plans
- Perform other duties as assigned
Qualifications
Skills and Qualifications:
- Administrative experience in multi-family property management preferred
- Ability to independently plan, organize, schedule, coordinate and make decisions and judgments relating to assigned projects and other responsibilities
- Ability to troubleshoot and find resolutions independently for complaints and questions from residential tenants
- Ability to establish working relationships and interact effectively with a wide range of people
- Excellent verbal and written communication skills
- Ability to learn new accounting software programs (ie: Yardi)
- Knowledge of Microsoft Office including Outlook, Word, Excel, Adobe and PowerPoint
- Excellent customer service skills
- Ability to multi-task in a fast-paced environment
