Position: Front Office Coordinator
Location: The Harbors Senior Living of Fridley
Hours: 8:00 AM to 4:30 PM, Monday through Friday (Weekends as needed)
Supervision: Under the direct supervision of the Executive Director
Overview:
The Harbors Senior Living of Fridley is seeking a highly organized and customer-focused individual to join our team as a Front Office Coordinator. This vital role is the first point of contact for residents, families, staff, and visitors. The ideal candidate will possess exceptional communication skills, a positive attitude, and a strong ability to manage multiple tasks efficiently.
Key Responsibilities:
- Front Desk Management: Serve as the primary point of contact at the front desk, greeting visitors, residents, and staff with a friendly and professional demeanor.
- Phone Triage: Answer and triage incoming phone calls, directing them to the appropriate departments or individuals, and handling inquiries with accuracy and efficiency.
- Information Triage: Communicate critical information to the Executive Director and Administrative Manager as necessary.
- Guidance & Direction: Assist residents, family members, and staff by answering questions and providing directions or information as needed.
- Key & Fob Management: Responsible for making and distributing keys and fobs to staff and family members, ensuring accurate records are maintained.
- Maintenance of First Floor: Maintain the appearance and supplies of the first floor, ensuring a welcoming and well-stocked environment.
- Administrative Support: Provide administrative support as needed, including tasks related to Microsoft Office (PowerPoint, Word, Excel, and Outlook).
Qualifications:
- Customer Service: Must possess excellent customer service skills, with the ability to communicate effectively and compassionately with residents, families, and staff.
- Technical Skills: Extensive knowledge and proficiency in Microsoft Office, including PowerPoint, Word, Excel, and Outlook.
- Attitude & Flexibility: A positive attitude and a willingness to assist in various tasks are essential. Must be adaptable and willing to work flexible hours, including occasional weekends.
- Organizational Skills: Strong organizational skills with attention to detail and the ability to manage multiple responsibilities simultaneously.
Schedule:
This position is scheduled for 8:00 AM to 4:30 PM, Monday through Friday. Weekend hours may be required as needed, with the option to flex time during the week.
