Sales & Marketing Administrative Assistant

The primary purpose of this position is to provide administrative support services for the Marketing Department in an effort to ensure stable occupancy at The Highlands at Pittsford, Laurelwood, and the Cottage Homes.

  • Assists with coordination of all community moves within Assisted Living and Independent Living. Providing comprehensive move services and conveniences including, orientation assistance on moving day, and post-occupancy services.
  • Communicates closely with key campus team members to ensure smooth and efficient moves/transfers of residents to all levels of living.
  • Supports marketing efforts through social and digital media (e.g. photo, video, live streaming, etc.).
  • May conduct tours with prospects, family, and influencers as necessary and for special events; will require some evening and weekend appointments.
  • Assists with planning and implementing special events including prospect social functions, health fairs, conferences, etc. Receives calls and emails for events and maintains RSVP list. Will include some evenings and weekends.
  • Works directly with the Marketing Director to manage and maintain department financial reporting including purchase orders and spenddown reports.
  • Operates and updates customer relations database. Enters and updates leads on an accurate and timely basis.
  • Generates and maintains customer relations management (CRM) database and reports utilizing the prospect information contained in the database i.e. Master Apt. Inventory, Move-in/Move-out reports, Occupancy reports etc.
  • Maintains marketing campaigns in CRM for tracking purposes.
  • Ensures that the department has sufficient office supplies and manages inventory control of collateral items, premium items, move-in gifts, change of address cards, floor plans, etc.
  • Works with the Marketing Director to prepare and update competitive analysis on an ongoing basis and produces reports at least twice annually
  • Maintains organized, accurate, and easy-to-locate files.
  • Communicate with the Sales Manager regularly concerning daily assignments, projects, and meeting schedules.
  • Creates an honest and sincere impression of the Community by greeting all visitors and answering all telephone calls in a pleasant and professional manner, thus creating a very positive image.
  • Interacts in a professional and pleasant manner with all staff members of both Marketing and Operations and others involved in the Community.

Education & Experience

  • Education & Experience:

AAS Degree preferred with 1-2 years of experience. Preferred with experience in sales and marketing administrative support. High School Diploma required with equivalent experience. General knowledge of computers and telephone system. Must have a basic working knowledge of Microsoft Word, Excel and PowerPoint. Must possess excellent telephone and interpersonal skills.

Specific Requirements

Demonstrated interest in working with senior population. Experience in database, design, and desktop publishing software required. Must have experience working in Excel and Microsoft Office software. Familiarity with Canva and Adobe suites preferred

Pay Range: $18.00hr-$27.00hr
