General Job Description

The Accounting Clerk is responsible for providing overall administrative and accounting support to the accounting, sales and engineering departments as needed. The Accounting Clerk works closely with the various departments to assist in the achievement of company goals and objectives.


Responsibilities

General Accounting Items


  • Accounts Payable
    • Responsible for all vendor invoices
      • Matching against Purchase Orders
      • Print/Scan all AP Invoices into SamPro
      • Data entry of Payables into Accounting System
      • Works with Purchasing Agent on discrepancies
      • Reconciles Unvouchered PO’s Monthly with the Purchasing Agent
      • Filing of all paid vendor invoices
      • Verify Statements from Vendors
    • Work Order Receipts
      • Print/Scan WO Receipts
      • Creates a grouped scan of WO Receipts by Salesman
      • Verifies WO Receipts Hours with Payroll
    • Bank Deposits
      • Prepares Bank Deposit for Checks received
      • Enters all cash receipts into the Accounting System
    • A/R
      • Assists with collections on past due accounts
    • Vehicles
      • Obtains Odometer readings on all company vehicles on a monthly basis
      • Calculates and enters mileage into the Accounting System
      • Maintains the Vehicle Cost Program
    • Field Service Payroll Backup
      • Corresponds with employees to verify payroll/corrections
      • Any data entry adjustments necessary for corrections in the Accounting System
      • Back-Up Payroll for programming Techs and Electricians
    • Misc. Accounting Projects
    • All other duties as assigned


General Admin Duties

  • Front Desk
    • Handles the Main Company Phone Line
    • Receives and sorts the company mail
    • General Filing

 

Experience and Qualifications

  • Knowledge of basic financial and accounting principles
  • Excellent organizational skills and high level of attention to detail
  • Microsoft Office experience and aptitude for learning new systems

 

Other Qualifications

  • Some coursework in finance or accounting preferred
  • One or two years of experience in accounts receivable or billing experience preferred
  • Strong communication skills
