Executive Assistant
We are seeking a highly skilled and proactive Senior Executive Assistant to provide top-level administrative support to our Client’s Executive Leadership Team. This role requires strong organizational abilities, exceptional communication skills, and the ability to manage complex tasks with a high level of confidentiality and professionalism. The Senior Executive Assistant will also oversee an Executive Administrative Assistant and play a key role in representing the leadership team within and outside the organization. Location: Woburn, 5X onsite
Salary: 110-130K, DOE
Key Responsibilities:
- Efficiently schedule and organize appointments, meetings, and events for the executive team.
- Handle all aspects of travel planning, including itineraries and logistics.
- Lead the planning and coordination of executive events and meetings.
- Organize and manage board meeting schedules and communications, acting as a liaison with board members.
- Oversee purchase orders, invoices, and expense reporting, ensuring timely and accurate submission.
- Respond promptly to inquiries from both internal and external stakeholders on behalf of the Executive Leadership Team.
- Handle sensitive and confidential information with the utmost discretion.
- Represent the Executive Leadership Team and company in a polished and professional manner at all times.
Qualifications:
- High School Diploma or GED required; Associate’s or Bachelor's degree preferred.
- A minimum of 10 years in an executive support role, with proven expertise in managing high-level administrative tasks.
- Exceptional writing and editing skills for drafting emails, reports, and presentations.
- Proficient in Microsoft Outlook, PowerPoint, and Excel, with the ability to create and edit presentations and documents with ease.
- Familiarity with Microsoft Teams (or similar platforms) for messaging and file sharing.
- Experience with Concur or similar expense management systems.
- Proven experience in supervising or managing other administrative professionals.
- Strong ability to manage multiple tasks and shifting priorities with a focus on deadlines.
- Able to work effectively in a fast-paced, ever-changing environment, adjusting priorities as needed.
- A positive, proactive attitude with a natural ability to handle pressure while maintaining grace.
- Strong team-oriented mindset, with the ability to work collaboratively across departments and leadership levels.
