Job purpose
The Inspired Community Project (TICP) is seeking a detail-oriented and organized HR Administration professional to oversee the logistics of managing employee records, compliance, onboarding, and regulatory processes. The HR Administrator will report directly to the Chief People & Culture Officer. This full-time role is essential in ensuring that TICP’s staff adheres to all legal and organizational requirements while supporting the organization's mission of advancing economic and racial equity. The HR Administration professional will be responsible for maintaining accurate staff files, coordinating onboarding procedures, and ensuring all compliance requirements, including Department of Labor (DOL) registrations and training certifications, are met and properly tracked.
This position plays a pivotal role in supporting the HR function by managing the critical aspects of staff administration and ensuring alignment with TICP’s values of inclusion, accountability, and empowerment.
Duties and responsibilities
- Maintain and organize employee personnel files, ensuring all records are accurate, up-to-date, and compliant with legal and organizational policies.
- Manage the onboarding process for new hires, including completion of necessary documentation, fingerprinting, and background checks, in line with Department of Labor (DOL) and other regulatory requirements.
- Ensure all staff meet compliance requirements for Early Intervention services, including mandatory training, certifications, and regulatory registrations.
- Track employee compliance with Department of Labor requirements for TICP’s apprenticeship programs, including registration and reporting.
- Coordinate staff fingerprinting, safety checks, and other necessary background verifications as required by city, state, and federal laws.
- Administer and track staff training, certifications, and professional development, ensuring all required renewals are completed on time.
- Assist with employee registration and documentation for New York State Department of Labor Apprenticeship Programs.
- Regularly audit staff files to ensure compliance with TICP’s policies and external regulatory standards.
- Work closely with the Chief People & Culture Officer to develop and streamline HR processes, ensuring a smooth experience for all staff.
Qualifications
- Bachelor's degree in Human Resources, Business Administration, or a related field preferred (not required).
- 2 years of experience in HR administration, compliance management, or related fields.
- Familiarity with New York State labor laws, Early Intervention services, and Department of Labor apprenticeship requirements is a plus.
- Strong organizational skills, with attention to detail and the ability to manage multiple priorities.
- Proficiency in HR software and systems for tracking employee files, training, and compliance.
- Excellent written and verbal communication skills with the ability to maintain confidentiality and professionalism.

Position Details
- Position: Full time position, 40 hours per week. Hybrid Days
- Schedule: 10:30am - 6:30pm
- Salary: $60,000 annually
