What are the responsibilities and job description for the Venue Coordinator position at The Larimore Wedding Venue?

Your weekends will be busy, as you lead the charge in ensuring each event goes off without a hitch. - Collects payments per the client’s payment plan, sending invoices and updating grids with payment information. Chases up late payments and date change payments.
- Upsells couples on add ons such as decor package or “in-house vendors”
- Liaises with the GM to get any event help hired for the upcoming events
- Schedules the ceremony rehearsal and rehearsal dinners with the client
- Runs the ceremony rehearsal if there is not a hired wedding planner present
- If the client selects to use our in-house catering service and/or in-house rentals: The Venue Coordinator works with the couples to make all menu, flatware, table setting, linen and napkin selections.
- Answers email and call communication/questions from the client throughout their planning process
- Sends 6 week, 4 week and 2 week reminders to the client. Reminding them of the information that is needed for their event and reminders for their Final Details Meeting
- Conducts Planning Sessions with the couple throughout their planning process.
- Conducts a Final Details Meeting with the client which includes:
- Working with the client to create their floor plans using our templates
- Gathering their timeline information and working with them to fill any holes
- Getting from them the number of tables and chairs that they will use from the venue
- Getting their list of vendors
- Getting their Event Liability Insurance
- Going over their contract rules and venue policies
- Getting their approval or disapproval to use their photos on social media
- Getting their vendor’s Certificate of Insurance
- If the venue has lodge rooms: Getting their room assignments if using the lodge rooms
- If the venue of offers catering service and/or in-house rentals: Finalizing any menu and catering rental selections.
- Is present on event days, greets the client and ensures that they have everything they need. Checks in on the wedding planner if there is one. Ensures venue rules are followed throughout the day and turns over to the Night Event Manager before leaving
- Runs Styled Shoots at the venue
Job Type: Full-time
Pay: $50,000.00 per year
Schedule:
- 8 hour shift
- Weekends as needed
