What are the responsibilities and job description for the Administrative Assistant position at The Law Office of Reid Felsing?
The administrative assistant will work directly with the attorneys in the following practice areas: criminal defense, criminal appeals, civil litigation, campaign finance/election law, tax/exempt organizations, and business law. The administrative assistant will perform the following tasks:
• Manage client case files and records (physical and digital) with strict confidentiality
• Maintain and update calendars, notes, and activities within our case management software for assigned attorneys.
• Maintain conference room schedule using Microsoft Calendar, effectively communicating with the Firm and Of-Counsel.
• Schedule meetings for staff including Microsoft Teams, Zoom meetings, and conference calls.
• Prepare monthly billing, which includes finalizing and auditing invoices and vouchers.
• Prepare agendas for staff meetings, record minutes, and delegate tasks to attorneys and support staff.
• Draft legal documents including notices, motions, engagement letters, and correspondence.
• Utilize case management software to file and scan incoming mail and prepare outgoing mail for distribution.
• Create and maintain hard case files within the firm.
• Serve as the first point of contact by answering phone calls and responding to inquiries from clients and potential clients in a professional and courteous manner.
• Conduct initial client interviews and complete intake forms accurately and efficiently.
• Maintain and update the firm's contact list and CRM database.
• Identify opportunities to improve internal systems and processes, ultimately enhancing the quality of legal services and client satisfaction.
• Hand-deliver documents as needed to ensure timely communication with relevant parties.
• Ensure office supplies are maintained, including preparing shopping list.
• Provide comprehensive administrative support to attorneys, law clerks, and paralegals.
Qualifications
• High school diploma
• Valid driver’s license
• Familiar with Microsoft Office programs: Word, Excel, Teams
• Preferred: Familiar with Clio case management software
• Preferred: Associate’s Degree or Certificate in Paralegal Studies from an ABA-Approved Paralegal Program
• Preferred: 0-2 years of experience as legal assistant, political campaign manager, or legislative staffer
Commitment
• Part-time or full-time opportunity; minimum 30 hours/week
• This is an on-site position

• Hourly position (Salary commensurate with experience)
