What are the responsibilities and job description for the Administrative Assistant/Marketing Coordinator position at The Legacy Group?
We are looking for a Administrate Assistant and Marketing Coordinator to support our growing real estate team. This work will be a critical factor for the smooth operation of The Legacy Group.
✦ Administrative Support
- Greet clients / manage client experience in the office
- Answer and direct telephone calls as appropriate
- Prepare materials needed for client meetings
- Undertake daily administrative tasks to ensure the functionality and coordination of the department’s activities.
- Ensure needed office/facilities supplies, and materials are in stock and organized.
✦ Transaction Coordinator
· Oversee all aspects of buyer & seller transactions from executed purchase agreement to closing.
· Coordinate title/escrow, mortgage loan and appraisal processes.
· Regularly update & maintain communication with clients, agents, title officer, lender etc.
· Submit all necessary documentation to office broker for file compliance.
· Input all client information into client database system.
✦ Listing Coordinator
· Prepare all listing materials: pre-listing presentation, Listing Agreement, sellers’ disclosures, comparative market analysis, pull online property profile, research old multiple listing service (MLS) listings etc.
· Consult & coordinate with sellers all property photos, staging, repairs, cleaning, signage, lockbox, access requirements & marketing activities.
· Provide proactive weekly feedback to sellers regarding all showings and marketing activities.
· Coordinate all public open houses and broker open houses.
· Input all listing information into MLS and marketing websites and update as needed.
· Submit all necessary documentation to office broker for file compliance.
·Input all necessary information into client database and transaction management systems.
✦ Marketing Coordinator
· Create, maintain, and strengthen the organization’s overall brand through all media avenues.
· Ensure all marketing efforts serve to achieve immediate and long-term business goals, identifying and executing improvements for processes, content, and lead generation.
· Prepare marketing activity reports and metrics for measuring program success.
· Employ marketing analytics techniques to gather important data (social media, web analytics, etc.)
· Prepare and deliver promotional presentations (ads, campaigns, etc.).
· Compose and post online content on the company’s website and social media accounts.
· Interact with users and respond to social media messages, inquiries, and comments.
· Write marketing literature (brochures, blogs, etc.) to augment the company’s presence in the market.
· Implement marketing plans that include print, broadcast, and online content.
· Experience designs branded templates and REELS for use on a social media using various desktop and online tools, like Canva.
· Keep up with trends and technology.
✦ Skills/Qualifications:
· High school diploma/GED.
· Degree educated preferred.
· Previous experience in the real estate industry is beneficial.
· 1-3 years of relevant experience as an Real Estate Office Coordinator and/or Administrate Assistant
· Excellent knowledge of MS Office, online applications (CRM tools, Online analytics, Meta, Instagram, TikTok, and Google Adwords etc.)
· Experience with Adobe Creative Cloud (Photoshop, Illustrator, In Design, Premier Pro) or equivalent digital media editing tools a plus.
· People-oriented, dedicated to customer service, extremely organized and attentive to detail
· Ability to multitask and meet deadlines in a fast-paced environment without oversight
· Ability to work in a fast-paced environment, anticipate changing needs, & problem solve
· Well-organized with a customer-oriented approach

Job Type: Full-time
Pay: $19.00 - $22.00 per hour
Expected hours: 40 per week
