The Office Administrator plays a vital role in ensuring the smooth and efficient operation of The Living Vine Maternity Home. Under the direct supervision of the Executive Director, this position provides administrative support, coordinates office functions, and assists with daily operations to uphold the mission of serving pregnant women in crisis.
Key Responsibilities:
- Oversee general office operations, including maintaining organized records, correspondence, and filing systems.
- Manage phone and email communications, responding professionally to inquiries from residents, donors, volunteers, and partner organizations.
- Assist the Executive Director with scheduling, meeting preparation, and administrative tasks.
- Maintain accurate financial records, process invoices, track expenses, and support bookkeeping functions as needed.
- Support fundraising efforts by maintaining donor databases, processing donations, and coordinating thank-you correspondence.
- Assist with grant applications, reports, and compliance documentation.
- Coordinate staff and volunteer schedules, ensuring coverage for administrative and operational needs.
- Order and maintain office and program supplies, ensuring essential resources are available.
- Ensure confidential handling of resident and donor information in accordance with The Living Vine’s policies.
- Provide support for events, marketing efforts, and community outreach initiatives.
Qualifications & Skills:
- Strong organizational and multitasking abilities with attention to detail.
- Excellent communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and donor management software.
- Experience in bookkeeping or financial administration is a plus.
- Ability to maintain confidentiality and professionalism in a faith-based, trauma-informed environment.
- Prior experience in nonprofit administration, office management, or a related field preferred.
