- High School Diploma/GED.
- Knowledge and experience in providing advanced administrative support.
- Experience with making travel arrangements and processing travel reimbursements.
- Demonstrated knowledge of purchasing and procurement methods and procedures.
- Proficient in Microsoft Office and Zoom.
- Computer skills to include effective use of an ERP financial system and spreadsheets.
- Skills in basic math, bookkeeping/accounting.
- Read and understand instructions, correspondence, and reports.
- Ability to provide customer service to various entities. Ability to find resources, identify solutions.
- Ability to coordinate, gather information, and complete data as needed for events/meetings.
- Ability to manage time effectively to oversee multiple projects, programs, services, and customer service needs.
- Ability to work under pressure, without supervision, handle multi-task projects, and complete work within established deadlines.
- Ability to maintain calendars and schedules.
- 1-2 years of experience in an office setting.
The Administrative Assistant II provides administrative and general clerical support to the management and staff within a specific division, department, or unit.
Job Duties
- Maintain standard operating procedures.
- Support Coordinators with event management and logistics.
- Maintain student organization registration records.
- Review correspondence, documents, and draft, proofread, and edit documents paying particular attention to detail.
- Greet, screen, and route visitors.
- Maintain multiple calendars, schedule meetings, manage room reservations, and coordinate, gather information, and compile data as needed for events/meetings.
- Answer multi-line phone and transfer calls, as needed.
- Oversee and manage routine operations of the department.
- Assist with travel arrangements and prepare travel requests and reimbursements using Concur.
- Process PCRs and other HR related paperwork.
- Maintain accurate and current record-keeping (i.e. procurement cards).
- Monitor and/or order inventory and supplies for the units in the department, as needed.
- Assist with procurement, purchasing, and management of departmental budgets.
- Provide administrative support to director, staff, graduate students, and undergraduate students.
- Other duties as requested or required, whether or not specifically mentioned in this job description.
