Job Title : Sales & Events Coordinator

Department : Sales & Events

Location : The Standard, High Line

Reporting to : Director of Sales & Events

Job Purpose :

Main Duties & Responsibilities

  • Assistin managing current sales accounts as well as prospect and qualify newbusiness;
  • Salesreservation requests, manage traces and welcome amenities
  • Maintainand update Sales collateral (newsletters, sales kits, gift bags, etc)
  • MaintainSales & Events databases, including; Opera, Tripleseat, All Seated andCanary.
  • Hostsite inspections as required;
  • Takeownership of researching daily arrivals and flagging sales VIP’s prior toarrival

Assistin tracking RFP submissions for Corporate and Consortia accounts

  • CreateGroup proposals, contracts and invoices. Ensuring all deadlines are met priorto the Groups arrival.
  • Contributeto department’s annual revenue goal by establishing new relationships withlocal and like-minded companies
  • Respondto Production & Entertainment Group / Transient requests, as needed
  • Actas onsite contact for client, alongside Account Manager

Handlepre-event proposals, BEO’s, and contracts. Ensure event details are enteredinto Opera and Delphi / TripleSeat.

Qualifyand direct event inquiries including; Corporate, Social and semi-private events

  • CommunicateEvent details to internal departments including : Front Office, Housekeeping,Engineering, Guest Relations and Culinary.
  • UpdateBEO’s, floorplan and event calendars as needed, effectively communicatingchanges with all departments.
  • Assistwith Event setup and Event breakdown if needed
  • Maintainand update Event inventory logs recommending orders based on calendar ofupcoming Events
  • Workwith the Group & Event Sales Manager and Accounting on event follow-up,final billing and billing inquiries.
  • Creatingprospecting lists and account outreach strategies
  • Updatemonthly events calendar, BEO’s, weekly events, menu items as needed.
  • PrepareBEO’s and Event Calendar for weekly BEO meetings. Lead meeting when needed.
  • Compsetanalysis of Food & Beverage and Event operations
  • Respondto Event inquiries both direct and online
