We have an immediate need for a Executive Assistant to join our team at our Corporate office in Troy, NY. This is a full-time role, reporting to the Vice President of Development Services.

Highlights of this position’s responsibilities include:

  • Full job description will be available during the interview process
  • Word processing (Microsoft Word and Excel).
  • Answers telephones, screens calls, takes messages, and routes to the appropriate personnel.
  • Opens and processes incoming mail and prepares outgoing mail.
  • Maintains established filing system(s).
  • Coordinates and maintains daily schedules.
  • Composes and/or takes and transcribes correspondences of a complex, and at times confidential nature.
  • Arranges conferences and/or meetings.
  • Attends meetings; records, transcribes, and distributes meeting minutes with follow up as needed.
  • Participates in the development and implementation of new procedures.
  • Handles travel coordination for Executives.
  • Researches topics of interest, compiles, and coordinates material as needed.
  • Responsible for special project needs and client requirements as requested by the Project Manager(s) and other personnel.
  • Coordinates work by internal teams, lawyers, and clients for the purpose of the production and completion of a specific product.
  • Tracks and/or monitors the status of various phases of an acquisition or sale development of a new project, and/or a re/financing transaction.
  • Provides frequent updates to Executives with respect to specific issues and/or projects.
  • Handles additional duties and responsibilities as requested or assigned.
  • Provides coverage for administrative personnel on an as needed basis.
Job Overview Qualifications
  • Job Type Compensation: Executive Assistant; $24.04/hour
  • Schedule: Full-Time, Monday – Friday 8:00 am – 5:00 pm
  • Required Education: Minimum High School Education or equivalent is required.
  • Required Experience: Minimum 2 years of experience; Experience in real estate or property management is a plus
  • Qualities: professional demeanor; ability to serve as a role model; excellent attention to detail with accuracy; deadline oriented; self-starter with initiative; great interpersonal/communication skills
