What are the responsibilities and job description for the Temporary Alumni Engagement Associate position at The University of Chicago Booth School of Business?
GENERAL SUMMARY: The Temporary Alumni Engagement Associate provides administrative and programmatic support to the Director, Alumni Engagement and the Alumni Engagement team. This position is expected to last six months.
PRINCIPAL DUTIES AND RESPONSIBILITIES
- Assist with Alumni Engagement short-term, ad hoc and longer term projects.
- Learn and optimize the online event registration system, Cvent, build events, monitor and report on Alumni Engagement events.
- Assist with research and tracking of event venues and vendors for local, domestic, and international event markets.
- Assist with the creation and production of nametags and registration lists for designated events.
- Provide onsite assistance at designated events.
- Assist in maintaining program databases, spreadsheets, files, and program materials.
- Create and organize project-related materials and communications; ensure all necessary materials are current, accurate, and properly filed.
- Assist with scheduling meetings, taking meeting minutes, preparing reports, emails and correspondence.
- Responds to inbound inquiries and emails in a timely manner; track inquiries.
- Website support and updating, as needed.
- Other administrative duties as required.
KNOWLEDGE, SKILLS, AND EXPERIENCE
- Bachelor’s degree required.
- A minimum of 2 years of event support and coordination; previous higher education experience preferred.
- Skills should include high proficiency in Microsoft Word, Outlook, PowerPoint, Excel, Zoom, Box, and Google Suite (Drive, Sheets, Docs, and Forms) required.
- Experience working with event registration platforms, Cvent preferred.
- Outstanding verbal, written, with an attention to grammar and spelling, and presentation skills required.
- Qualtrics experience preferred.
- Excellent time management, organizational skills, attention to detail, basic math and finance skills required.
- Ability to work independently; possess personal accountability and a self-motivated disposition.
- Ability to handle multiple detailed tasks/projects simultaneously and meet strict deadlines with frequent interruptions required.
- Demonstrated ability to work effectively and diplomatically with colleagues, as well as with students, faculty, trustees/senior-level alumni and business leaders and internal school leadership in a multitude of communication methods i.e., in person, email, phone required.
- Professional demeanor, including tact, discretion, and a customer service-oriented approach required.
- Ability to work flexible hours to meet business needs required.
Working Conditions and Physical Requirements
- This position works a hybrid schedule. When needed, in-office schedule will be at 401 N. Michigan Ave with occasional onsite at Harper Center.
- This is a part-time position of approximately 15-20 hours per week.
- Pay Range is $17 - $19 / hour
