Job Summary
Provide high-level administrative and programmatic support to the Vice-President for Intercollegiate Athletics. Provide support for a variety of administrative services in support to the Vice President for Intercollegiate Athletics.
Core Responsibilities
- Provides direct, high-level, administrative support and assistance to the Vice-President for Intercollegiate Athletics (VPIA), including organization and oversight of special projects; management of VP’s schedule and calendar; coordination of communication from and to the VPIA office.
- Handles, reviews, and prioritizes for action on all correspondence; makes travel arrangements; monitors and maintains schedules; and performs related administrative activities to assure full executive level service.
- Serves as liaison for the Vice President, both on the phone and in meetings, to provide efficient, courteous, discrete and effective customer service to a wide constituency.
- Coordinates and monitors Vice President’s administrative activity and project timelines, recommending actions to maintain timeliness of reporting and other required submissions.
- Works with the Vice President to draft, edit and review meeting minutes, presentations, reports and other documents related to the VPIA office.
- Manages and coordinates executive level contacts, visitors and prospective partners with attention to appropriate protocol and professionalism.
- Coordinates administrative requirements and standards with administrative staff across the Vice President’s area of responsibility.
- Monitors and directs internal and external phone calls.
- Maintains and streamlines Vice President’s administrative procedures, including record maintenance and retention.
- Supervises office staff and establishes work priorities.
- Plans, coordinates and executes special events or projects.
- Arranges for special guest.
- Performs other duties as assigned.
- Bachelor’s Degree from an accredited institution.
- Additional experience may substitute for the degree on a one for one basis.
- Five years of professional administrative experience.
- Master’s Degree from an accredited institution.
- Similar experience in higher education.
- Excellent communication and writing skills.
- Demonstrated independent decision making, ability to work with discretion, diplomacy and judgment in dealing with others.
- Capable of coordinating complex projects.
- Demonstrated ability to work well with others in a fast-paced environment.
- Knowledge of University administrative structure, policies and procedures.
- Preparation and compilation of data for a variety of executive-level documents, reports and/or presentations.
- UTSA is a tobacco free campus.
