Job Description
Position Overview
We are seeking a Litigation Assistant to support our litigation attorneys by managing case files, drafting legal documents, coordinating court filings, and ensuring all litigation tasks are completed with precision and efficiency. This role plays a critical part in supporting the litigation process, requiring strong attention to detail, time management, and communication skills. The Litigation Assistant will serve as a liaison between attorneys, clients, court personnel, and opposing counsel.
Key Responsibilities
Case & Document Management
Maintain and organize case files with proper naming conventions to ensure easy access and consistency.
Keep the case management system updated with current case information, deadlines, and tasks.
Save and organize all court-related filings, including pleadings, motions, notices, subpoenas, and discovery documents.
Court Filings & Legal Correspondence
Manage electronic and physical court filings (e-filing), ensuring accuracy and timeliness.
Draft and serve legal documents such as complaints, summonses, subpoenas, and discovery materials.
Coordinate communications with judicial assistants and opposing counsel.
Client Support
Return client calls within 24 hours and maintain professional, compassionate communication throughout the litigation process.
Verify and update the Litigation Biography in collaboration with clients to ensure accurate information.
Document Drafting
Draft complaints, summonses, and discovery requests (interrogatories, requests for production, requests for admissions) under attorney guidance.
Assist in preparing notices to set depositions and serve required documents.
Litigation Calendar & Scheduling
Maintain and track litigation deadlines including responses, discovery, depositions, hearings, CMEs, mediations, and trials.
Coordinate scheduling for depositions and mediations, including arranging court reporters and sharing Zoom links when applicable.
Discovery & Deposition Support
Organize and maintain discovery files and exhibits.
Assist attorneys and clients in reviewing discovery responses to ensure accuracy and completeness.
Provide administrative support for depositions, hearings, and mediations.
Financial & Expense Tracking
Manage litigation-related expenses, including invoice payments.
Maintain the Expense Link in Litify to reflect current financial activities.
Training Requirements
Must attend occasional in-person corporate training sessions, including weekends, with 30 days' notice provided.
Qualifications
Bilingual in English and Spanish.
Highly reliable and punctual.
Excellent written and verbal communication skills.
Strong organizational and multitasking abilities.
High attention to detail and ability to meet strict deadlines.
Proficient with computers and legal case management systems (e.g., Litify).
Strong phone etiquette and customer service orientation.
Ability to work effectively in a fast-paced, team-oriented environment.
Preferred Qualifications
High school diploma, technical certification, or bachelor's degree in a relevant field.
Prior experience as a legal assistant or in a litigation support role.
Familiarity with e-filing systems and court procedures.
Experience coordinating depositions, court filings, and client communications.
