Supervised by : Director of Operations
Overview : The IT Administrator at The Well will play a pivotal role in managing and overseeing the organization's technology infrastructure. This position requires a highly skilled individual with a strong background in information systems and technology management. The ideal candidate will be responsible for maintaining and improving our IT systems, ensuring compliance with federal and state regulations, and supporting our staff with their technology needs, all while embodying our core values.

Qualifications :
Bachelor’s or Associate’s Degree from an accredited college or university in Information Systems / Technology Management or Administration or similar, or equivalent experience in information systems / technology management or administrationA minimum of two years’ experience working in the non-profit or human service field preferredA minimum of two years’ sobriety if diagnosed with a substance use disorderAdvanced knowledge of and experience with computer systems, computers, and other technology equipment administration / managementAbility to diagnosis, maintain, and repair computer hardware components and other technology equipment, such as tablets and phonesBasic troubleshooting skills related to networking, computer software, and computer hardwareMicrosoft 365 certified or ability to acquire certificationAbility to use mobile device management (MDM), Intune, Entra, Zoom, and Microsoft 365, including SharePoint, Teams, Word, Excel, OutlookAbility to configure, maintain, and update group policy objects (GPO)Ability to communicate clearly, effectively, tactfully, and professionally in writing and verbally with all team members regardless of the team member’s knowledge, experience, or skill levelAbility to work independently with minimal supervision, exhibiting initiative, accountability, decision-making skills, and problem-solving skillsAbility to perform all job duties in an organized, efficient, and detail-oriented manner with the ability to determine and adjust prioritiesAbility to ask for help or guidance when neededAbility to work with others in a professional mannerAbility to understand and follow agency, state, and federal laws, rules, and policies and procedures as related to the agency, position, and work assignmentsAbility to read, write, and comprehend the English language at a level necessary for effective job performance with correct usage, vocabulary, spelling, grammar, and punctuationAbility to sit and / or stand for long periods of time, climb stairs, perform simple grasping and fine manipulation, carry or lift up to 40 pounds, use a telephone, use a keyboard and mouse, and type at least 50 words per minuteCurrent, valid driver’s license and operable vehicle with proof of liability insuranceDuties and Responsibilities :
Information Technology AdministratorDevelop a thorough understand of current IT processes, software, and equipment at all agency facilities
Obtain training on how to use, maintain, and oversee current and proposed IT processes, software, and equipment as needed
Obtain training on federal and state laws and regulations for 42CFR Part 2 and HIPAA as it pertains to the agencyEnsure current and proposed IT processes, software, and equipment meet all 42CFR Part 2 and HIPAA requirementsCollaborate with the Director of Operations to develop and implement agency IT goals, objectives, and policies and proceduresEvaluate and recommend improvements to agency IT processes, software, and equipment to improve operational efficiency
Work within the existing technology budgetAssist Director of Operations with developing an annual budget to meet the anticipated needs for the next fiscal yearPerform audits as assignedOversee the agency’s technology equipment at all agency facilitiesSet up new and reissued computers and equipment per agency guidelines
Schedule and conduct ongoing computer and technology equipment maintenance activitiesComplete an inventory of all agency technology equipment at least annuallyMake recommendations regarding technology equipment to purchase, replace, reassign, or decommissionPrepare decommissioned technology equipment for recycling, shredding, or disposal; transport to recycling facility as neededDrive personal vehicle to different agency facilities to perform job duties; mileage will be reimbursedServe as an IT resource for the agency at all agency facilitiesFollow up on all reported technology issues and resolve in a timely manner
Monitor technology email account and IT ticketing software dailyProvide assistance and training in the proper use of technology equipment, software, and processes in an understandable, efficient, and professional manner at the appropriate level for the team memberDevelop written instructions on various current and new IT processesAct as administrator of Microsoft 365 for the agencySetup, remove, and modify Microsoft 365 licenses, email addresses, and email groups for team members in a timely manner
Setup SharePoint for new team members and assign and modify team members permissions as neededMaintain and improve the agency SharePoint Intranet and Teams systems and processesAct as liaison with outside technology companiesReview quotes and contracts and make recommendations as needed
Serve as contact point for technology vendorsKeep the landline agency phone system current and functioning per agency needs as well as all agency mobile devicesOther duties as assigned
