Overview
The Office and Project Administrator plays a critical role in supporting the daily operations of a growing engineering and construction firm. This full-time position involves working closely with the Office Principal and Senior Project Manager to ensure efficient business operations and administrative procedures that support current operations and facilitate future growth. The ideal candidate will be detail-oriented and self-motivated, possess strong time management skills, and have the desire and ability to master new skills, particularly within the engineering or construction sectors.
Responsibilities
- Project Management Support (Under direction of designated Project Manager):
- Create, issue, expedite, and track project purchase orders
- Prepare, process, and track project contractual documents
- Maintain contractor and vendor commercial documents and insurance certificates
- Utilize construction management software (Procore) for project set-up and tracking
- Engineering Support (Under direction of Engineering Team Lead):
- Track and report customer RFI and Submittal Review status
- Manage project drawing print orders
- Utilize MS PowerPoint and similar tools to support customer presentations and marketing material development
- General Office Administration:
- Monitor office visitor access and greet office visitors
- Act as the person of contact for office management (external vendors, IT equipment, service providers, mail, etc.)
- Maintain office space, equipment, supplies, and records
- Organize Team Events and coordinate logistics of customer and vendor meetings
- Special projects as assigned
Qualifications
The successful candidate will possess:
- Must be proficient in Microsoft Outlook, Excel, PowerPoint, and Word, and PDF software (e.g. Bluebeam Revu or Acrobat).
- Ability to edit, review, and interpret technical information.
- The ability to apply experience and training in accounting, cost control, administrative and personal interaction in a professional environment.
- Math and basic bookkeeping knowledge; accuracy managing funds.
- Excellent interpersonal skills including the ability to maintain effective working relationships with superiors, coworkers, vendors, and contractors, as well as manage public relations with tact and courtesy.
- Ability to assume responsibility, take the initiative to solve problems, and produce high quality work.
- Ability to prioritize work to meet deadlines, balance interruptions, multi-task, and work with confidential information with discretion.
- Ability to learn and effectively use department hardware/software including but not limited to the office AV equipment, scanners/printers, Procore Construction Software, SmartSheet, timekeeping, job cost, and accounting software.
- Construction, engineering, or architectural firm experience preferred but not required.
Minimum Position Requirements
- Two-year degree in a technical background, business, or other suitable curriculum, or
- Additional on-the-job experience and training in the areas described.
