Your Impact
The Office Coordinator is at the heart of the office, serving as the central point for ensuring a smooth, organized, and welcoming environment. This role supports the team with administrative and operational tasks, fostering a hospitable atmosphere for employees and visitors alike. Reporting directly to the Executive Assistant, the Office Coordinator plays a vital role in creating a positive and professional workplace culture.
What you will do
Administrative Support:
- Manage incoming and outgoing mail, ensuring timely distribution and delivery.
- Handle office communications, including calls, emails, and voicemails, and forward or respond appropriately.
- Maintain organized records by copying, filing, and distributing documents as needed.
- Schedule and coordinate meetings, appointments, and events for team members.
Office Management:
- Monitor and restock office supplies to maintain a well-equipped workplace.
- Oversee office equipment and coordinate maintenance or repairs with vendors.
- Ensure the office space remains clean, organized, and operational.
- Liaise with building management for facility maintenance and repairs
Operational Support:
- Assist the Executive Assistant with executive travel arrangements, expense reports, and project coordination.
- Provide support to the SVP of Operations and Chief People Officer with expense reporting.
- Manage employee birthday and anniversary cards to ensure timely delivery on behalf of the executives.
- Provide calendar support for the CPO.
- Serve as a primary contact for stakeholders during the Executive Assistant's absence.
- Manage inquiries by directing them to appropriate individuals or departments.
- Contribute to administrative tasks and special projects as needed.
Qualifications:
- High school diploma or equivalent (Bachelor’s degree preferred).
- Previous experience in office administration or coordination is required.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Excellent organizational and multitasking skills with keen attention to detail.
- Strong communication and interpersonal skills.
- Exceptional hospitality skills, creating a welcoming and professional environment.
- Ability to maintain confidentiality and professionalism in all situations.
- Basic knowledge of office equipment such as printers, copiers, and phones.
Preferred Skills:
- Experience with scheduling tools and expense management systems.
- Familiarity with event coordination.
- Proactive problem-solving abilities and a team-oriented mindset.

Work Schedule
This is a full-time position (32-40 hours per week) with set in-office hours.
