Timberline Landscaping, LLC. is an award-winning company serving Colorado Springs and the surrounding areas, “Creating a little bit of Heaven” for over 40 years. We offer a full range of services from commercial and residential landscape design/build to complete ground maintenance.
The Project Coordinator works closely with the Business Unit Leader and Superintendents within our Commercial Construction Unit to assist in executing the administrative management of landscape construction projects. The Project Coordinator will perform various duties such as project review, submittals, and administrative tasks.
Duties & responsibilities
- Assist in monitoring and maintaining job
- Execute submittal process.
- Assist on RFP’s (Request for Proposal) and maintain up to date RFP boiler plate information.
- Read, study and understand contracts and specifications on awarded projects.
- Complete job/customer set up to include the following:
- Bonding
- W-9’s
- COI’s
- Billing time frames and procedures
- Secure quotes after projects are won, based off quotes generated during estimating process.

Coordinate Safety plans with Safety officer and general contractor/owners as needed.
- Facilitate creation and submittal of any safety tailgates of job hazard analysis as required by contract.
- Assist in addressing long lead items and coordinate with superintendents.
- Coordinate Subcontract agreements with accounting including insurance requirements and schedule of values.
- Coordinate and attend Makers and Breakers meetings.
- Issue initial Purchase Receipts (PR’s)
- Perform other assigned tasks as required from meeting.
- Turnover and Warranty forms, As-Built drawings are strictly maintained.
- Create Time and material tickets using Aspire.
- Other duties as assigned.
- Bachelor’s Degree in Business Administration or related field; OR five years of relevant experience.
- Proficient in Microsoft Office Suite and Adobe, with the ability to learn new software.
- Effective communication skills.
- Must pass post-offer background check consisting of employment history, personal/professional references, criminal record, and MVR.
- Valid Colorado Driver’s License with a safe driving record.
- Effective organizational skills that include the ability to self-manage work and support the work of others.
- Must be highly adaptable to the kinds of change that comes along with working in an entrepreneurial environment.
Desired qualities to include
- Experience with Aspire software.
- Leadership, interpersonal, and multi-tasking skills (including the handling of multiple priorities and deadlines.
Physical Demand & Work Environment
- The employee must occasionally lift and/or move up to 30 pounds (must ask for help when lifting over 50 pounds).
- This job, at times, requires stooping, kneeling, crouching.
- This position is in an office setting.
