Description:
The Controller / Office Manager performs and oversees the daily/weekly/monthly/annual accounting responsibilities for the company. This position requires a minimum of 10 years of relevant experience, with a strong background in construction accounting practices and strong organizational skills. The Controller ensures the accurate and timely processing of invoices and payments, The controller is responsible for adhering to the company's financial plans and policies, the accounting practices, the maintenance of its fiscal records, and the preparation of financial reports. The role involves management of general accounting, property accounting, internal auditing, cost accounting, and budgetary controls using construction accounting software, Construction Partner (C.P.). The controller reports directly to the Chief Financial Officer and the President. This position also includes office management responsibilities.
Key Responsibilities:
- Human Resources/Payroll - Active management of employee information to include compliance with all state and federal laws, protection of sensitive information, accurate and timely reporting, proper payroll procedures, payroll tax reporting, payroll tax payments, benefit administration, wage garnishments, employee records management, and the reporting of released employees.
- Accounting Operations – Oversees and maintains the company's system of accounts and keeps books and records on all company transactions and assets. The controller is responsible to ensure that all construction projects are properly entered into C.P. both initially and as the project evolves, reconciling the cost and income budgets in C.P. to those provided by the team. This role requires prompt and effective team communication to resolve any discrepancies. Monthly bank and credit card reconciliations, to include loan interest accrual. Managing the paper and electronic forms using the company established shared server file system.
- Accounts Payable - Management of all accounts payable functions including, vendor set up in C.P., satisfaction of vendor requirements for credit limit requests, ability to negotiate terms best suited for the company, accurate cost coding of all invoices, prompt and accurate entry of all invoices in C.P., the ability to understand and pay invoices by job as those payments are received. Ensures controls for purchasing, receiving and payments are standardized and compliant to prevent fraudulent activities. Verification that all insurance, w-9’s, and conditional lien releases are current prior to making payments to subcontractors. Managing the paper and electronic forms using the company established shared server file system.
- Accounts Receivable - To include communication with the team to ensure that the progress billing deadlines are met, providing detailed job reports generated from C.P. to aid in billing preparation. Knowledge of standardized construction AIA billing. Ability to quickly adjust to client specific forms and or web-based billing platforms as required. Proper knowledge and use of the standardized construction lien release forms. Communication with client verifying the receipt of the progress billing. Management of all accounts receivable ensuring prompt payment. Managing the paper and electronic forms using the company established shared server file system.
Additional Responsibilities:
- Coordinates and directs the preparation of the budget and financial forecasts, institutes and maintains other planning and control procedures around HR, employee handbook, etc. (including the cost accounting system), insurance and analyzes and reports variances.
- Responsible to assist with tax planning as requested.
- Compliance with all federal, state, and local corporate, payrolls, and other applicable taxes.
- Ensures proper state registration is filed and current.
- Tracking using excel and outlook calendar reminders for items such as, vehicle registration, employee insurance eligibility, 401(k) eligibility, driver’s license renewals, etc.
- Furnishes internal reports, revises and updates reports to be more useful and efficient and furnishes external reports as necessary. Reporting requirements are extensive. Windows Office, and other financial applications skills must be outstanding.
- Evaluates and recommends insurance coverage for protection against losses and potential liabilities.
- Ensures all internal control activities, assessments, and results are well-documented and retained for future reference and audit purposes.
- Maintain open communication channels between employees and management regarding internal controls and their implementation.
- Contract review, analysis, and report.
- Motor Vehicle reporting.
Experience/Requirements:
- Proven experience as a Controller or similar financial leadership role in construction industry.
- Bachelor's degree in Accounting, Finance, or a related field. CPA or CMA certification is highly preferred.
- Excellent analytical and problem-solving skills, with the ability to interpret financial data and provide actionable insights.
- Exceptional communication and interpersonal skills, with the ability to collaborate effectively with team at all levels.
- Detail-oriented and highly organized, with the ability to handle multiple priorities and meet deadlines in a fast-paced environment.
- Microsoft Windows Office Suite including Excel and Adobe.

- Extensive experience in managing payroll, wage calculations, and union benefits.

Salary is D.O.E. $60,000-$90,000 per year
