Job Overview
We are seeking a highly organized and detail-oriented Administrative Support to join our team. In this role, you will be responsible for providing comprehensive administrative support to ensure the efficient operation of the office. The ideal candidate will possess excellent communication skills, a strong work ethic, and the ability to manage multiple tasks effectively in a fast-paced environment. Your duties and responsibilities include providing high level oversight to dispatched jobs, invoicing and resolving issues with billing, deescalating scheduling and administrative problems, supporting the team within the office, making office supplies arrangements, greeting visitors and providing general administrative support to our employees. Previous experience as an Office administrator or Administrative support would be an advantage. A successful Administrative Support should have experience with a variety of office software (email tools, spreadsheets and databases) and be able to accurately handle administrative and accounting duties. Ultimately, the Administrative Support should be able to ensure the smooth running of the office tasks and help to improve office procedures and day-to-day operation.
Duties
- Serve as the point person for Office support duties such as: Dispatching, accounting, customer service, invoicing and billing duties.
- Assist with data entry and maintain accurate records in both physical and digital formats.
- Provide support to team members when necessary with Administrative and Billing issues.
- Handle clerical tasks such as filing, photocopying, and organizing documents to ensure smooth office operations.
- Utilize Google Suite for document creation, Excel spreadsheets, and presentations to support team projects.
- Perform collection duties and ensure that all items are correctly invoiced and paid on time.
- Support general office, and ensure accurate and timely reporting.
- Manage assigned tasks effectively and meet deadlines consistently.
Skills
- Proficiency in office management practices with a focus on time management.
- Knowledge of office Administrative support responsibilities, systems and procedures.
- Proficiency in MS Office (MS Excel and MS Outlook) and data analytics.
- Proven knowledge in the use of Service Titan software.
- Proven knowledge of Quickbooks, and strong collection skills.
- Strong data entry skills with attention to detail for accuracy in record keeping.
- Excellent phone etiquette and interpersonal skills for effective communication with clients and colleagues.
- High level computer literacy with experience using Google Suite applications (Docs, Sheets, Drive).
- Ability to work independently as well as collaboratively within a team environment.
- Strong organizational skills to manage multiple priorities efficiently.
- Excellent Attention to detail and problem solving skills.
- Strong written and verbal communication skills.
- A creative mind with an ability to suggest improvements.
- Experience working at an HVAC company is an advantage.
