The HIM Specialist - Reception/Call Center position is responsible for a variety of functions within the HIM Department requiring advanced knowledge and/or experience in customer service, release of information, birth certificate processing; document Imaging; electronic record analysis, delinquent chart audit functions; and telephone etiquette as further described below.
Core Competencies
- Performs quality control and validation of scanned documents for all patient types, including: Inpatient, Day surgery, Endoscopy, Emergency Department, Observation, etc.
- Performs chart analysis of records according to TJC, CMS and Department of Health guidelines.
- Completes the Delinquent Chart Audit including notification of physicians in compliance with TJC, CMS, and California state guidelines (Title 22).
- Monitors timely receipt of Newborn Screening Program results (PKU's).
- Monitors the HIM/In Box including forwarding Physician Orders to the appropriate recipient.
- Assists the Government Audit Coordinator and front office HIM staff as needed.
- Completes Birth Certificates according to California state regulations utilizing the Electronic Birth Registration System (EBRS) provided by the California Department of Public Health..
- Performs Health Information Management receptionist including: answering and forwarding telephone calls as appropriate; mail distributions etc
- Greet visitors/patients/physicians coming into HIM.
- Processes Release of Information Requests including scanning to the electronic medical record.
- Assists Release of Information/Medicolegal Correspondents as appropriate
- Assists providers with error correction within scope. Assists customers with patient portal access, problems encountered, and escalates for action if necessary.
- Retrieves/prepares/scans medical records and loose documents for inclusion in the EMR.
- Retrieves records from Iron Mountain offsite storage vendor.
