Job description
The Facility Administrator is responsible for overseeing the daily operations of an urgent care clinic in Argyle, Texas. This role ensures efficient facility management, regulatory compliance, staff coordination, and patient satisfaction. The administrator works closely with medical providers, administrative staff, and external vendors to maintain a high standard of care and operational efficiency.
Key Responsibilities :Operations Management:
- Oversee the daily functions of the clinic, ensuring smooth workflow and efficiency.
- Manage facility maintenance, cleanliness, and safety protocols.
- Coordinate with vendors for medical supplies, equipment maintenance, and other operational needs.
- Implement and monitor policies and procedures to maintain compliance with healthcare regulations.
Financial & Administrative Oversight:
- Manage clinic budgets, expenses, and financial reports.
- Monitor billing and insurance processes to ensure accurate and timely reimbursements.
- Oversee payroll and staff scheduling to optimize coverage and reduce overtime costs.
Staff Management:
- Recruit, train, and supervise administrative and support staff.
- Ensure staff adherence to policies, procedures, and customer service standards.
- Conduct performance evaluations and provide feedback for continuous improvement.
Regulatory Compliance & Quality Assurance:
- Ensure compliance with all federal, state, and local healthcare regulations, including OSHA, HIPAA, and Texas Department of Health guidelines.
- Conduct regular audits and implement corrective actions as needed.
- Maintain accurate records of compliance reports, incident reports, and operational logs.
Patient Experience & Customer Service:
- Address patient concerns, complaints, and feedback to enhance patient satisfaction.
- Ensure front desk and administrative staff provide a welcoming and efficient patient experience.
- Implement patient-centered initiatives to improve overall service quality.
Qualifications & Requirements:
- Bachelor's degree in Healthcare Administration, Business Administration, or a related field (Master’s preferred).
- 3 years of experience in healthcare facility management, preferably in urgent care or outpatient settings.
- Strong knowledge of healthcare regulations, billing practices, and insurance procedures.
- Excellent leadership, problem-solving, and communication skills.
- Proficiency in electronic medical records (EMR) systems and Microsoft Office.
- Ability to work in a fast-paced environment and handle multiple priorities.
Work Environment & Schedule:
- Full-time position, with occasional evening or weekend hours as needed.
- Primarily an on-site role, with responsibilities requiring direct interaction with staff and patients.
Compensation & Benefits:
EDUCATION AND/OR EXPERIENCE:
- Management/Leadership experience of at least three years
- Graduate of an accredited school of nursing (Master of Science in HealthCare Management)
SKILLS REQUIRED:
- Ability to read, write and speak English to converse with patients
- Knowledge of how to operate basic office equipment such as multi-line phone, computer, printer/copy/fax/scanner machine
- Able to maintain a polite and professional demeanor while providing excellent customer service.
- Strong judgment and leadership skills as well as ability to be a high-functioning team player.
- Detail oriented with exceptional interpersonal communication skills.
- Knowledge of OSHA, HIPAA, and CLIA standards and requirements.
- Ability to accurately read and write medical terminology
- Ability to multitask and work independently in a clinical setting using sound judgment in a high-pressure environment while maintaining excellent patient care and customer service.
PHYSICAL DEMANDS:
- Must be able to bend, lift, twist, sit and/or stand/walk for up to 12 hours daily.
- Communicate with patients who have inquiries; must be able to exchange accurate information
- Must be able to move between work areas, office machinery, patient exam rooms and to other various locations throughout the facility.
- Must be able to see the computer screen and be able to participate in training classes where computer screens are references or by handouts and/or hands-on training.

WORK ENVIRONMENT / ENVIRONMENTAL CONDITIONS:

TRAVEL REQUIREMENTS:
- Travel between TotalCare facilities for meetings, training sessions or shift coverage may arise and is considered within the scope of this position.
