The Court Clerk / Deputy Town Clerk performs a variety of administrative, clerical and technical duties to support the operations of the Town of Superior Municipal Court and the Town Clerk's office. This position ensures accurate record-keeping, facilitates court proceedings, processes legal documents, and assists with Town records management, licensing, and elections. Additionally, this position serves as the main point of contact for the municipal court and provides oversight for general court business. Position is non-exempt under FLSA. Works under supervision of the Town Clerk / Court Administrator.
Salary Range is $54,966 - $81,905 per year plus excellent benefits- Attends all sessions of the municipal court and provides support for court operations, including arranging for bailiff and interpreter services.
- Enters citations into the court module of the Town’s software.
- Prepares associated documents needed for court operations including case files, subpoenas, warrants, dockets, arraignments, hearings, sentence orders, calendars, and general correspondence.
- Assists the Municipal Court Judge by preparing files and filing paperwork received as may be required by disposition agreements for judicial review; seals and expunges court records as needed.
- Maintains court records in accordance with the Colorado Municipal Records Retention Schedule and the Colorado Court Rules of Procedure.
- Serves as the Municipal Court’s main point of contact for the public, including receiving phone calls, handling incoming and outgoing correspondence, and assisting customers who have business with the Court.
- Assists with the management of Town files and records, including the systematic retention, protection, retrieval, transfer, and disposal of records.
- Accepts and processes applications and renewals for various licenses and permits including those for business and liquor licenses.
- Administratively approves Liquor License renewals and Special Events Permits.
- Provides coverage for the Town Clerk during absence which includes attending Town Council meetings.
- Assists in providing a wide range of information to Town Council, staff, other governmental agencies, and citizens.
- Establishes and maintains filling systems.
- Provide general office assistance to the Town Manager, Manager's Office, elected officials and members of the public including scheduling, setting up meetings, researching information, and data collection.
- Perform clerical duties as required, such as typing labels, preparing files, maintaining logs, and word processing of confidential information, reports and statements.
- Assist front desk operations to provide customer service, greet, and direct visitors.
- Handle cash receivables and operate a cash register.
- Receives, screens, and routes incoming phone calls.
- Responds to inquiries of the public and Town staff regarding utility services, billing processes, and general Town information.
- Assist with any mailings.
- Assist with out-of-office assignments, errands, pick-ups, and deliveries.
- Assists public in person or on telephone at Town Hall.
- Knowledge of municipal court operations, legal procedures, and case management.
- Understanding of Colorado state laws related to municipal government, open records, and elections.
- Familiarity with court documentation, including summonses, warrants, and dockets.
- Knowledge of financial processes related to fines, fees, and restitution payments.
- Understanding of records retention policies and document management best practices.
- Awareness of election processes, including voter registration, ballot handling, and reporting requirements.
- Strong organizational skills with attention to accuracy and detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and court/town management software.
- Excellent written and verbal communication skills for interacting with judges, attorneys, law enforcement, and the public.
- Customer service skills to handle inquiries professionally and respectfully.
- Ability to maintain confidentiality and handle sensitive legal information appropriately.
- Time management skills to prioritize multiple tasks efficiently.
- Ability to interpret and apply municipal and state laws, codes, and policies.

Special License, Registration, or Certification Required:
- High school diploma or equivalent (GED)
- Three (3) years of Municipal Court and/or administrative experience, preferably in a municipal setting or any equivalent combination of education, experience and training that provides evidence that the applicant possesses the necessary qualifications.
- Notary Public, or the ability to obtain within 90 days of hire
- National Crime Information Center (NCIC) and Colorado Crime Information Center (CCIC) certifications or the ability to obtain certifications within three (3) months of hire
- Training with Colorado Association for Municipal Court Administration (CAMCA) is preferred.
- Certified Municipal Clerk designation, or the ability to begin the process to obtain certification within three (3) years of hire
Working Conditions/Physical Requirements:
- Frequently lift and/or move up to 10 pounds and occasionally up to 25 pounds
- Prolonged periods sitting or standing at a desk and working on a computer
- Office environment with frequent interruptions from telephone, email, or walk-in customers
