Position Summary
The Northern Regional Police Department seeks a highly organized and detail-oriented professional with a strong accounting background to support the Chief of Police and the executive leadership team. This role requires a unique combination of executive-level administrative skills and expertise in financial management to ensure the seamless operation of the office and its financial activities. The ideal candidate will act as a key point of contact for internal and external stakeholders while managing sensitive and confidential information with the highest level of discretion.
Key Responsibilities
Accounting and Financial Management
- Assist with the preparation and monitoring of the department's annual budget.
- Oversee expense reporting, purchasing, and invoice processing to ensure compliance with both department and municipal policies and procedures.
- Reconcile departmental accounts and assist in financial audits.
- Generate financial reports, forecasts, and analyses to support strategic decision-making.
Executive Support
- Prepare reports, presentations, and correspondence for executive-level communication.
- Act as a liaison between the Chief of Police, department staff, municipal officials, and external partners.
- Handle confidential information with discretion and professionalism.
- Provide comprehensive administrative support to the Chief of Police, including managing calendars, scheduling meetings, and coordinating travel arrangements.
Office Management
- Maintain organized records of departmental documents, including financial statements, contracts, and personnel files.
- Monitor and manage office needs, procurement, and vendor relationships.
- Assist in coordination of department-wide events, training sessions, and initiatives.
Communication and Stakeholder Engagement
- Draft internal memos, press releases, and other communications as needed.
- Serve as the first point of contact for inquiries directed at the Chief's office.
- Foster positive relationships with community organizations and stakeholders.
Required Qualifications
- Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
- Minimum of three years of experience in a role requiring accounting or financial management responsibilities, and some experience as an executive assistant or similar work.
- Ability to successfully pass a criminal background check.
- Proficiency in accounting software (e.g., Springbrook, QuickBooks, SAP) and Microsoft Office Suite, especially Excel.
- Strong organizational, problem-solving, and time-management skills.
- Exceptional verbal and written communication abilities.
- Proven ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment.
Preferred Qualifications
- Familiarity with municipal government operations and public sector budgeting and accounting.
- Knowledge of law enforcement procedures and protocols.
- Experience with grant research, management and reporting.
