Job Description: The Commercial & Event Scheduling Coordinator plays a crucial role in supporting the Inspector Manager by managing con-ed class scheduling, event planning, and commercial inspection coordination. This individual will serve as a bridge between departments, primarily focusing on inspection-related and event-related tasks. Additionally, they will receive training to assist with residential inspection scheduling when needed.
This position requires flexibility, strong organizational skills, and the ability to represent the company at industry events and educational seminars.
Key Responsibilities: Con-Ed Class & Event Coordination (70%)
- Schedule and coordinate continuing education (con-ed) classes for real estate professionals on behalf of the instructors.
- Attend con-ed classes to ensure smooth operations and provide support as needed, such as ordering lunches, calling to confirm class times, etc.
- Organize and represent Trademark Inspection Services at industry events, networking functions, and promotional activities.
- Coordinate with the marketing team to ensure proper branding, materials, and promotional items are available for events.
- Maintain and update a calendar of events, ensuring timely communication with involved team members.
Commercial Inspection Scheduling & Coordination (20%)
- Manage the proposals sent for commercial inspections and the scheduling of commercial inspections.
- Ensure all necessary documents, agreements, and information are provided before inspections.
- Work closely with the Inspector Manager to optimize scheduling and inspector availability.
- Follow up with commercial clients to ensure satisfaction and address any concerns.
Administrative & Cross-Department Support (10%)
- Maintain records and documentation related to classes, events, and inspections.
- Collaborate with the Marketing Team to track event success and impact.
- Assist the Inspector Manager with administrative tasks as necessary.
Qualifications & Skills Required:
- Experience:
- 1-2 years of administrative, scheduling, or event coordination experience preferred.
- Experience not required, as we are willing to train the right candidate.
- Skills & Competencies:
- Strong organizational and time management skills.
- Excellent communication and customer service abilities.
- Ability to multitask and work across different departments.
- Comfortable attending and representing the company at events.
- Possess a servant’s heart.
- Proficiency in Google Suite.
- Other Requirements:
- Availability for a flexible schedule, including some early mornings, evenings, or weekends as needed for events.
- Ability to travel locally to events and inspection sites.
Key Result Areas (KRAs):
Successful Coordination of Con-Ed Classes & Events
- Ensure con-ed classes are scheduled with proper documentation.
- Facilitate seamless event execution, ensuring all materials and logistics are available and in place.
Effective Commercial Inspection Scheduling
- Schedule and confirm 70% of commercial inspections with appropriate follow-ups.
- Maintain an error-free scheduling rate of 90% or higher (i.e., no double bookings or missed appointments).
- Improve client communication, ensuring all commercial clients receive necessary pre- and post-inspection information.
- Maintain an up-to-date event and inspection schedule, with weekly reports to the Marketing Team Lead.
- Collaborate with the marketing team to enhance event effectiveness.
- Ensure all administrative records are accurate and up to date.
Job Type: Full-time
Pay: $17.47 - $18.15 per hour
