What are the responsibilities and job description for the Production Manager position at Triamid Construction of Central California?
Position Summary:
Under the supervision of the Service Manager, the Production Manager is responsible for maintaining and updating the dispatch board for all field personnel. The Production Manager is the facilitator between commercial service repair customers and the in-house Triamid Construction & Maintenance repair technicians. The Production Manager assigns personnel to particular work sites and works with the Service Manager and/or Field Managers to match them with the abilities of the technician and the geographical location of the site. The Production Manager updates and keeps current the job tracking software. The Production Manager is also a main communication line to clientele and will keep all RDM, FSM, and Store Managers updated and informed of the scheduling and progress of the work associated with their locations. Some clients’ Centralized Dispatch & Tracking operations will require that entries be made in their systems by phone call or electronic entries on web sites or iPad apps. On-Call weekend rotation and compensation is recommended.
Position Responsibilities:
- Maintain a safe work environment
- Answer and respond to requests for service via phone, voicemail, email, and client portals.
- To coordinate manpower requirements with service and project managers and field supervisors of Triamid.
- To assign all technicians to work orders in a manner that achieves maximum efficiency in the use of time and technical ability.
- Assign emergency and urgent work orders to meet all clients’ performance criteria.
- Contact the Manager/Supervisor of the location to be serviced to acquire all information and or keys to gain entrance after hours.
- Update the status of each work order showing its progress during the previous shift, in the dispatch software and in any format required by a specific client.
- Maintain communication with clients regarding open jobs and quotes to ensure timely processing.
- Assure that technicians are making accurate and timely entries pertaining to their jobs’ status in all client and company apps and web portals and report deficiencies to the Service Manager.
- Transmit job status reports to individual clients by phone and/or email keeping them advised of their job status.
- Enter all Requests For Service into the dispatch software program
- Maintain visibility of costs in work orders assigned, but not completed upon first visit.
- Notify clients of technicians’ requests to exceed client dollar thresholds and document authorization status while technician is on site.
- Check all jobs in Field Service for accuracy and completeness
- Co-Supervise technicians with field supervisors
- Coordinate work with subcontractors and clients
- Review subcontractor invoices for accuracy and job numbers and approve for payment
- Update all clients’ web based tracking software to reflect status of assigned work orders.
- Review and approve technician timecards and expense reimbursement requests. Verify accuracy of times, job numbers, and meal breaks.
- Work with Service Manager in creation of bid-type and quoted work orders.
- Communicate material needs from the field to warehouse Manager and 2nd shift Field Manager
- Reconcile the Dispatch Board with Open Work Order Report to confirm all work orders are accounted for and properly completed.
- Share “On Call” duty with other service personnel
- Carry out other non-technical tasks and assignments as necessary for the efficient operation of the field support system.
- Review daily timecards from technicians to verify that the time listed matches the work order time billed
- Assist technicians at time of hire with onboarding into the Service Department
Essential Skills and Experience:
- Ability to read and communicate effectively both orally and in writing at a level appropriate to the duties of the position
- Computer Keyboard proficiency
- Must possess basic computer skills for word processing and spreadsheet manipulation
- Knowledge of construction terminology
- Ability to prioritize work into levels of urgency
- Ability to assign work based on location and create efficient technician routes
- Ability to effectively communicate by phone with persons of lesser knowledge in construction and maintenance
- Must possess a valid driver’s license and be insurable by our carrier
- Five years general or specialty construction office experience
Non-Essential Skills and Experience:
- One year general or specialty construction field experience
- Two years general or specialty construction office experience
- Prior Dispatcher experience

- While performing the duties of this job, the employee’s work environment will be exposed to typical inside office and shop conditions. The work environment may include excessive noise and dusts from operating equipment.
