General Purpose:

Assists in performing various office duties for the facility such as filing, answering phones and taking messages, arranging Zoom and conference calls, scheduling meetings, invoice coding, handling information and member requests and other similar tasks with very sound hospitality skills to assist as a Club concierge.

Essential Duties:

  • Meets and greets all members in a pleasant, courteous and professional manner.
  • Printing, copying, scanning and faxing
  • Assist with any Club inquiries, answers incoming telephone calls, forwarding calls to appropriate department or takes a message.
  • Provides clerical support to the Club department heads that may include but not be limited to typing, copying, filing, composing routine correspondence, presentations, membership collateral packets, filing for various departments, ordering office supplies and preparation of reports.
  • Takes minutes at monthly Club Board and committee meetings, helps with elections and by-laws updates.
  • Maintains office supplies and copy/postage area keeping an adequate supply of inventory and clean, organized space.
  • Maintains print directory of members and residents as well as photo directory of members.
  • Maintains portions of the Club member website with up-to-date information.
  • Creates and distributes Club Board emails and agendas to the membership.
  • Completes special projects and related duties as assigned.
  • Distributes daily mail and maintains filing system to include databases.
  • Possess the ability to compose letters and communicate verbally.
  • Work independently with little or no supervision.
  • Performs other duties as required.

Education/Experience:

High school diploma or general education degree (GED), 2-3 years of Receptionist, Office Manager, or related experience.

Job Knowledge, Skill and Ability Preferences:

  • Ability to read and speak English is required in order to perform the duties of the job (e.g. the associates are required to communicate with English speaking customers or co-workers, the manuals for the equipment the associates may use are in English).
  • Intermediate to advanced computer skills including, but not limited to, use of Microsoft Word and Excel required.
  • Personable, positive attitude and team player
  • Ability to multi task is essential
