SUMMARY
The Night Auditor Manager at Juniper Preserve holds a pivotal responsibility in facilitating seamless operations during the nighttime hours. This position is responsible for overseeing and managing all aspects of the night audit process, including reconciling daily transactions, maintaining financial records, generating and distributing vital reporting, and providing exceptional guest service when needed. The Night Audit Manager is expected to uphold the high standards of Juniper Preserve, and contribute to the overall success of the property.
ESSENTIAL FUNCTION:
Operational Knowledge:
- Conduct the nightly audit of the hotel's financial transactions, ensuring accuracy and completeness.
- Verify and reconcile the necessary accounting information
- Handle guest inquiries, check-ins, check-outs, and reservations during the night shift.
- Build and send essential property-wide documents such as STAT Sheet, DA Sheet, Tee Sheets, Transportation Sheet and Management reports.
- Collaborate with other departments to ensure a smooth transition between shifts.
Financial Responsibilities:
- Reconcile daily department receipts, addressing discrepancies.
- Perform close of day tasks in SMS Host/Touch programs.
- Ensure proper closure of all departments for the next business day.
- Generate various reports (Trace, Arrivals, Departures, Flash, Daily GL import).
- Prepare daily financial reports for the hotel's management team, including Flash Report.
- Maintain a clear and organized record of all financial transactions during the night audit.
Guest Services:
- Assist late arriving guests with check-in processes or guest requests.
- Proficient in check-in procedures and room orientation.
- Assist guests with luggage and fulfill guest requests.
- Scrutinize Night Audit procedures for efficiency improvement.
- Provide exceptional service to guests, addressing their needs and concerns during the night.
- Act as a point of contact for late-night arrivals and departures, ensuring a seamless experience.
- Handle emergency situations and coordinate with other departments as necessary.
Emergency Response and Documentation:
- Respond to emergencies as per the Emergency procedure guide.
- Prepare guest incident and accident reports with follow-up.
- Document staff incidents and notify management of areas for improvement.
Communication and Coordination:
- Follow up on email communications and guest concerns promptly.
- Communicate with staff and management to identify and solve problems.
- Organize group arrivals and departures; ensure billing accuracy on group city ledgers.
Workflow Management:
- Manage workflow effectively, handling multiple tasks.
- Regularly inspect guest history for accuracy.
- Maximize revenue and occupancy considering budgeted revenues and expenses.
Supervisory Duties:
- Provide leadership and guidance to the Night Audit team.
- Conduct regular training sessions for Night Audit staff.
- Monitor staff performance and provide constructive feedback.
- Schedule and coordinate shifts to ensure adequate coverage.
- Address employee issues and escalate to higher management when necessary.
- Collaborate with the Member & Guest Services Manager in team development.
- Supervise and train night audit staff, ensuring they understand their responsibilities and Juniper Preserve standards.
- Create schedules, assign duties, and oversee staff performance to ensure operational excellence.
- Effectively handle staff call-offs, provide coverage for essential shifts, and uphold schedule integrity.
- Plan and meet weekly with staff members to assess performance and future goals.
- Complete staff payroll on bi-weekly basis.
General Operations:
- Organize group arrivals and departures; ensure billing accuracy on group city ledgers.
- Inspect guest history to ensure accuracy and encourage staff utilization.
- Maintain equipment and stock the front desk with supplies as needed.
- Prepare a Daily Activities sheet, ensuring accuracy.
Additional Responsibilities:
- Assist Welcome Cottage with nightly rounds as needed.
- Manage workflow effectively and in an organized manner.
- Perform other tasks as assigned by the Member & Guest Services Manager or Supervisor.
- Maintains a professional standard at Juniper Preserve to include but not limited to appearance, Interaction with members, associates, guests of the resort, verbal discussions and written correspondence. Does not discuss work related issues with members and guests.
- Supports and adheres to the CORE Values (ie. “The T.R.I.P.”) as defined by the Company.
- Other tasks as assigned by the Member & Guest Services Manager or Supervisor.
- Proficiently use property management, finance, and Microsoft Office software.
- Identify and resolve issues related to the night audit process, including system discrepancies.
- Assist IT with system integrations and updates.
- Maintain a professional standard, including appearance and interactions.
- Support and adhere to the CORE Values defined by the Company.
- Refrain from discussing work-related issues with members and guests.
QUALIFICATIONS
Required

- Must be over 18 years of age.
- Able to pass a drug test.
- Valid Oregon driver’s license with no recent alcohol related offenses or criminal record.
- College or university qualifications or 2 years work related experience in Guest Services capacity.
- Ability to work graveyard shift or variation thereof.
- Previous experience in night audit or financial roles in the hospitality industry
- Strong understanding of financial principles and accounting practices
- Exceptional attention to detail and and problem solving skills
- Excellent communication and guest service skills
- Proficiency in property management and Microsoft Office software
- Leadership and team management skills
- Ability to to work independently and make sound decisions during the night audit shifts

SKILLS
Required
- Must have at least a high school diploma

WORKING CONDITIONS:
Inside 75% of an 8 hour shift. Outside 25% of an 8 hour shift, unless the exterior project is carried out.
PHYSICAL DEMANDS
While performing the duties of the job, the employee is required to limit lifting, pushing, pulling and carrying over 25 lbs, including movement of furniture; must be able to reach overhead; be able to bend and kneel for extended periods of time. The employee will be in continuous movement across all areas of the property and body flexibility for movement of furniture and equipment is a necessary ability. Occasional sitting at a desk and phone use; continuous standing is required; climbing stairs is required; minimal driving required, and a valid Oregon drivers license is required. Employees will also need to answer the telephone and radio; deal with paperwork, computer systems, electrical and mechanical systems; and communicate with guests to solve problems. Employees must know how to identify and handle chemicals used in routine work through use of MSDS.
