Job Overview:
The Listing Administrator is responsible for managing the listing process of properties, ensuring accurate and timely information is presented on the Multiple Listing Service (MLS) and other online platforms, coordinating with agents to gather necessary details, and maintaining the integrity of property listings throughout the selling cycle.
Key Responsibilities:
Data Entry and Listing Creation:
- Accurately input property details, including features, dimensions, photos, and pricing into TPA Website, MLS systems and other listing platforms.
- Verify and update listing information as needed throughout the selling process.
- Prepare and format listing descriptions to be engaging and informative.
- Create property flyers for each listing and attach all listing supplements to each listing on various listing platforms
Agent Coordination:
- Work with agents to gather necessary property information, including property disclosures and legal documents and all applicable information for listings to launch online.
- Communicate in a clear and professional manner with agents regarding listing status updates and any required changes.
Compliance Management:
- Work with Office Manager to ensure listings adhere to all local real estate regulations and MLS guidelines.
- Monitor listings for accuracy and potential errors.
Marketing and Promotion:
- Prepare property listings for online real estate portals and social media platforms.
- Schedule and post social media posts for new listings, price changes and sold notices.
- Coordinate with marketing team when necessary to develop listing visuals and promotional materials.
Administrative Tasks:
- Maintain accurate records of property listings and related documentation
- Track listing status updates and deadlines
- Answer incoming phone calls and route to appropriate agents or management
- Sign for deliveries and packages
- Other general office tasks as necessary
Required Skills:
- Attention to Detail: Ability to accurately input and manage large amounts of data with precision.
- Technical Proficiency: Knowledge with Microsoft Office Platform and other Windows Based Systems. Familiarity with MLS systems, real estate software, and online listing platforms.
- Communication Skills: Excellent written and verbal communication to interact with agents, clients, and internal team members.
- Organizational Skills: Ability to prioritize tasks and manage multiple listings efficiently.
- Problem-Solving Skills: Capability to identify and resolve issues related to listing accuracy and compliance.

Education and Experience:
- High school diploma or equivalent
- Prior experience in real estate administration or customer service helpful but not required.
- Knowledge of local real estate market and regulations beneficial but not required.
Working under direct supervision of Office Manager with additional guidance from Marketing Team leadership. Training for all job duties will be provided.
Schedule: Noon-4:00pm in office Monday thru Thursday. **Opportunity for additional hours when short-staffed due to vacation schedules
Job Type: Part-time
