The New York Program Coordinator provides support for Trust for Public Land New York State Director by managing the NY office space, managing events, supporting communications and interactions with staff and external stakeholders, and providing general administrative duties, including coordinating travel, meeting and expenses. This position is part of the New York State Team and reports to the New York State Director.  
 
This position will be in-office (Soho). 
 
Essential Functions: 
 
Administrative support and special projects 
  • Provide administrative support to the New York State Director, including assistance with scheduling, communications, travel, expenses and various research and reporting. 
  • Assist with the preparation of speaking engagements; research, gather materials, and produce clear PowerPoint presentations. 
  • Plan and organize team meetings, both in-person and virtually; book facilities, make meeting and logistics arrangements, arrange conference calls. 
  • Create organizational systems, assist with the tracking of priorities on project management tools and for regular team progress meetings. 
  • Support New York State Director with oversight of special projects, as they arise.  
  • Support Land protection Project Manager with administration related to project management submissions. 

Events and materials 
  • Support event planning such as team meetings, ribbon cuttings, ground breakings, and convenings including but not limited to preparing materials, catering prep, securing locations, and creating digital invites. 
  • Work with state director, program team, philanthropy and national marketing/communications team to prepare and distribute materials, collateral, e-news, social media and other marketing / communications materials, including a monthly update newsletter. 
  • Serve as the point of contact for staff, external stakeholders and the public. 
  • Manage the New York email account for general public inquiries and receive incoming calls to NY office and direct them accordingly. 
  • Act as lead note taker for large internal and external meetings.  

Office management 
  • Oversee and manage relationships with all office-related vendors and landlord, act as a point of contact for building management company, process and track office-related invoices and accounts; ensure timely payments, and manage the good operating order of equipment. 
  • Create and maintain processes for the improved efficiency of the office, including managing office visitors, maintaining fully equipped office supplies, and watering plants.  
  • Act as main point of contact for all IT needs and issues with appropriate staff/vendors as needed.  
  • Maintain NYS Statewide Financial System to ensure prequalification status for TPL. 

 
Qualifications: 
  • Minimum two to four years of relevant experience in administrative and organizational support. 
  • Excellent verbal and written communication and interpersonal skills. Demonstrated ability to work well with others including different functional areas within region as well as national departments. 
  • Excellent organizational abilities, attention to detail, promptness and dependability.  
  • Ability to work with a high degree of self-direction, flexibility, and speed, especially with respect to taking initiative, prioritizing multiple tasks, and using good judgment to resolve problems. 
  • Excellent computer skills; familiarity with and able to use technology to make processes more efficient. Experience managing remote communications technology such as Zoom and Microsoft Teams. 
  • Demonstrated ability to use diplomacy and discretion in handling confidential information with tact and professionalism.

As a full-time, non-exempt employee, you will be eligible for Trust for Public Land's comprehensive benefits program, which includes medical, dental, and vision insurance, vacation, sick and holiday time (including a one-week winter break), and a 403(b) retirement plan, currently with up to a 7% company match. We offer competitive salaries commensurate with experience; the range for this position is $57,000 to $65,000 annually.
